The incumbent serves as the Administrative Support Assistant (OA) in the Surgical Service and reports to the Supervisory Management Analyst and Chief, Surgical Service. The incumbent performs assigned duties in a manner that promotes quality health care, outstanding customer service and the maintenance of an environment committed to serving the Veteran.
Duties
The Administrative Support Assistant (OA) will provide support for the Surgical Service regarding reporting data on clinical care delivery, resource planning in the form of space, equipment and supplies, resource allocation and expenditures within the service, and timekeeping and ADPAC for the service. Major duties and responsibilities include, but are not limited to:
Processes incoming/outgoing material such as correspondence, reports, memoranda, meeting minutes and other forms of written communication.
Collects, compiles, and tracks of data and statistical information in support of the organization's program operation.
Serves as the Surgical Service ADPAC to provide initial computer access and trains surgical residents, fellows, medical students, staff physicians, physician assistants, nurse practitioner, nurses, and all Surgical Service personnel on all relevant computer applications.
Answers and responds to telephone inquiries, determining the nature of the call, obtains messages and refers to the appropriate person.
Enters data into a number of electronic databases (i.e., Microsoft Outlook, Excel, Word, PowerPoint, SharePoint, Visio, etc.).
Initiate and manage work orders for the Surgical Staff as requested or by self-identification when appropriate.
Engages in face-to-face talks, phone calls, emails and correspondence with veterans, veteran's family members, staff and internal/external stakeholders.
Maintains and posts time and attendance reports for Surgical Service staff using the automated system and in accordance with established procedures.
Serves as the TMS Coordinator and government purchase card holder.
Performs other related duties as assigned.
Work Schedule: Monday-Friday, 8:00AM-4:30PM

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing administrative and technical support for the management of various programs and staff; Acts as a liaison or handles the communication with person and/or groups within and outside of an organization or office; Collecting, compiling and tracking data and information; Maintaining databases and utilizing various software programs i.e. Microsoft applications, Time Tracking and Monitoring, etc; Delivering effective customer service to a diverse audience.

Physical Requirements: The work is primarily sedentary but involves walking and lifting of office equipment and supplies.
