The Program Support Assistant (OA) performs a variety of administrative and support functions for the Facilities Management Service (FMS), West Palm Bach VAMC.
Duties
Administrative resource for the Facility's Water Safety Program (WSP) The incumbent maintains local spreadsheets with information on water testing results, remediation actions and filtered locations.
Arranges for in-house conferences and meetings, including location, schedule, agenda and
notification of those in attendance.
Incumbent edits and composes letters, reports, reviews correspondence for accuracy and
completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries. The correspondence must be well written, accurate, grammatically correct, and in the proper format.
Incumbent must have a good working knowledge of computer systems and software (Excel, Word, Power Point, Access, CARS, Outlook, GSA database, FAST, etc.) which is essential to the successful performance of the duties of this position.
Incumbent must be proficient in several complex software operations to include GIP,
AMES/MERS, Fileman, Microsoft Office, Keystone, and VISTA.
Incumbent must have skills in creating/managing spreadsheets to track various items such as
budget, finance, wait lists, or other data.
Manages the databases, resources, reports, and inspections regarding the Water Safety Program.
Work Schedule: MONDAY through FRIDAY, 7:30AM to 4:00
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/13/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Award and General Adjustment SF-50s do not show Time in Grade. PLEASE DO NOT INCLUDE THEM.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: .
Experience preparing and submit quarterly and annual budget/expense report.
Experience researching files and assembles background information on the subject of incoming material prior to referral.
Experience ordering supplies for the service and fund control clerk.
Experience utilizing VISTA and CPRS or similar, and their many options, and is able to extract data on a timely and accurate basis for use by both personnel as well as patients.
Experience utilizing VISTA and CPRS or similar scheduling program to ensure proper data capture of encounters for workload purposes.
Experience in various computer skills, typing and office automation. including working knowledge of Microsoft program: Office, Outlook, Excel, PowerPoint.
Experience answering telephones, face-to-face contact with patients, scheduling appointments, set up in-house conferences and agenda.

Physical Requirements: The work is primarily sedentary.Duties involve considerable amount of time sitting and may include occasional bending, standing, lifting, and carrying of manuals or files. A substantial amount of work time involves reading, typing/writing, and utilizing computers.

This occupation is being considered for a Veterans Health Administration enterprise-wide Critical Skills Incentive (CSI). Candidates may be eligible for a lump sum CSI. The amount of lump sum CSI is determined based on appointment date and may be pro-rated as determined by the end date of the CSI. Eligible candidates will be required to sign a service agreement agreeing to an obligated service period and failure to complete the obligated service period may result in a debt for the unearned portion of the CSI.
This occupation is currently approved for a Veterans Health Administration enterprise-wide Critical Skills Incentive through [insert date].
