The Clerk (OA) is located in the Administrative Section of the Facilities Management Service (FMS) in the West Palm Beach Veteran Medical Center. The primary purpose of this position is to provide monitoring and tracking of service projects, employee training, competency assessments and staffing spreadsheets.
Duties
Major Duties Include (but not limited to):
Prepares documents such as goals and objectives, organizational charts, and handwritten drafts.
Responsible for the correct punctuation, spelling, grammar and arrangement for transmittal of correspondence.
Receives visitors and telephone calls to the Chief, FMS. Ascertains nature of call or business of visitors and determines appropriate actions for work order submissions.
Relays messages and instructions from the Chief, FMS to other supervisory personnel at several levels as necessary.
Serves as back up to Admin section program support specialists to process procurement and reconcile costs.
Maintains and posts changes to VA manuals, circulars, bulletins, and medical center numbered memorandums.
Compiles training data for FMS and submits training reports and as such is the training coordinator for FMS.
Orders and signs for delivery of office supplies.
Work Schedule: 6:30am - 3:00pm Monday to Friday

Qualifications

Proficiency Requirement: In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skill.
40 words per minute typing speed.
You may qualify based on your experience and/or education as described below:
GS-05 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization.
Examples of specialized experience would typically include, but are not limited to:
Maintains six-part competency folders and new employee orientation records.
Maintains calendars and schedule appointments.
Prepares correspondence, memorandum, meeting minutes and work orders.
Manages an online education Talent Management System (TMS).
Develops and maintains online file systems such as Share-Drives and Share-Points site.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have Four (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the high school level (i.e. 6 months of specialized experience and 3 years of education above the high school level). NOTE: Only education beyond the second year can be used in combination with specialized experience to qualify for this grade.

Physical Requirements: Work is primarily sedentary involving some bending, stooping, reaching, lifting of light items and walking. Work is performed in an office environment.
