The Chalmers P. Wylie VA Outpatient Clinic is a medical clinic which provides a full range of ambulatory health care services to eligible veterans.
The incumbent serves as an Advanced Medical Support Assistant in Surgical Service. This position is not an entry level position and must have prior experience as an MSA or experience in a position that has worked in the surgical/endoscopy area.
Duties
Duties Include:
Is responsible for the management of the service's clinic processes for Veterans receiving invasive procedures.
Works collaboratively in a PACT- like model with the OR/GI staff which includes surgeons, nurses, SPS employees, and EMS employees.
S/he also works with an interdisciplinary team which includes but not limited to: volunteers for transportation, Chillicothe VAMC for pts with social issues (homelessness, no care taker, etc.), laboratory, radiology, Pre Admission Testing, anesthesia, PACT teams, and outside vendors.
Scheduling appointments, including interpreting and verifying provider orders in accordance with VHA national scheduling guidelines
Scheduling, canceling, re-scheduling patient's procedures and/or consults; entering no-show information; monitoring the electronic wait list; preparing for surgery; monitoring outpatient appointments for areas of responsibility
Responsible for coordinating the scheduling of all surgical and medical invasive procedures performed in the Operating Room/Endoscopy suites
Scheduling all operative procedures into the appropriate scheduling package, developing Operating Room/Endoscopy schedules, collaborating with the OR NM/ANM and anesthesia to produce a
Daily OR/GI schedule, scheduling and coordinating Pre-Admission appointments for patients, coordinating transportation needs of patients, and ensuring accuracy of scheduling data.
Providing information and services pertaining to invasive procedures
Receiving the consult from provider, reviewing the patient medical record for additional clinical information pertaining to the invasive procedure, and making the initial contact with the patient to schedule the invasive procedure
Will participate actively in service by performing routine administrative, complex administrative, and miscellaneous administrative clerical duties which require a good working knowledge of the VA in general, the local VAMC organization, mission and functions, and the Surgery Services/Endoscopy Services in particular. The incumbent may be called upon at times to help with special projects in the service.
Work schedule: Full Time, 7:30-4:00 p.m.

Qualifications

Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
English Language Proficiency: Must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
Experience: Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR
Education: One year above high school; OR
Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
Grade Determinations: Below are the requirements to be found eligible for the GS-06 grade level. One year of experience equivalent to the GS-5 grade level and the ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.To be eligible for the GS-6, applicants must meet one year of experience equivalent to the GS-5 grade level and demonstrate the below KSA's:
Ability to operate computerized programs and systems in order to enter, modify, and retrieve sensitive medical and patient identifying information PII into or from electronic health records, scheduling systems, and/or reports.
Advanced knowledge of medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients.
Ability to schedule medical appointments in a clinical setting.
Ability to work independently in the accomplishment of a wide variety of duties [performing patient support work.
Ability to communicate effectively and professionally [in person, electronically, and/or by telephone], with internal and external customers.
Skill in customer service with the ability to identify customer concerns, and refer to the appropriate staff, as necessary, to ensure a satisfactory resolution.
