The incumbent serves as Program Support Assistant for the Advanced Care Planning via Group visits (ACP-GV) program out of the Office of the Chief of Social Work at the Malcom Randall Department of Veterans Affairs Medical Center. The incumbent performs administrative and clerical duties associated with providing assistance to patients, significant others, providers, and other internal and external customers that interact with the ACP-GV program and the Office of the Chief of Social Work.

Duties

Major duties include, but are not limited to: Acting as advisor to clinical and professional staff providing information as requested or needed. Managing ACP-GV data through quantitative data review, utilizing all appropriate methods and sources (CPRS, VISTA, VSSC, etc.). Maintaining monthly and quarterly ACP data reports. Ensuring that all necessary health/administrative information is integrated into Computerized Patient Record System (CPRS) by sending received documents to HIMS for scanning and inclusion in the Veteran's record. Using routine knowledge of pertinent VHA and NF/SG VHS laws, regulations, policies, and procedures to adhere to governing guidelines. Maintaining accurate time and attendance records and reports by posting electronic timecards daily. Ensuring that exceptions are timely processed. Tracking leave time of all Social Work Service employees. Managing fund control points to include emergent funds and gift card tracking. Requesting needed office supplies through the supply control point and completing required forms for all new or replacement equipment purchases to be submitted to the Equipment Committee. Electronically submitting work orders for IT, telephones, staff moves, repairs, furniture, etc. and following up on status through to completion. Serving as the primary point of contact for all locations for information and material requests. Working collaboratively in interdisciplinary coordinated care delivery models and performing customer service and other duties assigned for the proper and timely treatment of patients. Intervening to resolve difficult problems and diffusing potential dissatisfaction with VA services to prevent congressional and adverse publicity. Developing rapport and maintaining effective relationships with hospital personnel at all levels (i.e., professional staff, technicians, administrative and clerical personnel) as well as staff specialists in other VA hospitals and outpatient clinics and numerous private hospitals and crisis centers. Drafting or transcribing correspondence, memorandums, reports, schedules, etc., using own skills and knowledge of administrative procedures and Microsoft office programs. Receiving, sending, distributing and routing mail appropriately. Preparing outgoing correspondence from the Chief, reviewing correspondence from others for accuracy and completeness, and developing standard or form letter and replies to inquiries. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/03/2024. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performing administrative and clerical duties associated with providing assistance to patients, significant others, providers, and other internal and external customers; assisting staff in the implementation of consultations with other services/clinics based on the needs of the patients served; managing data through quantitative data review; maintaining accurate time and attendance records; and determining the nature of requests and provide the information desired using privacy rules and established clinic processes. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and post-high school education (beyond the second year) can be used in combination with specialized experience to qualify for this grade. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. You will be rated on the following Competencies for this position: Administration and ManagementAttention to DetailClericalCreative Thinking Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is fast paced with meetings daily within the NF/SG VHS. The work is generally sedentary. The work requires the ability move around the office and the VA Medical Centers and will involve some walking, lifting (less than 25 pounds), and squatting. The work environment is adequately lighted, heated/cooled, and ventilated. Incumbent will at times need to bring items such as records, books or papers and pushing carts, holding equipment, tiles, patient charts, folders, or supplies to other areas within the facility. The incumbent will be required to travel up to 25 percent of the work week to other VA sites of care and to community partners for outreach. Travel is required either using government vehicle or personally owed vehicle for the purpose of carrying out assignments. Travel may be for long periods of time up to 3 hours each way.
