Serves as Secretary to the Assistant and to the Associate Director of the William S. Middleton Memorial Veterans Hospital providing direct clerical and administrative work and collaborating with other clerical staff within the Director's Office to support administrative services.
Duties
Performs secretarial duties for the Associate Director and Assistant Director by performing general office work. Duties include but are not limited to:
Receives schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public.
Provides general office automation clerical services such as maintaining electronic files, solving operating or user problems, or utilizing advanced functions.
Assists with the preparation and distribution of agenda and materials to various event participants
Coordinates meeting dates/times/locations and/or ensures meetings are properly supported and arranged.
Assists with recording meeting minutes and monitoring assignments.
Tracks and maintains the Hospital Memorandum Program and other programs as assigned.
Processes incoming and outgoing materials such as correspondence, reports, memoranda and determines its proper disposition.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Full-Time, Monday - Friday, 8:00AM to 4:30PM
Telework: This position may be authorized for telework but is not considered a routine scheduling option. Telework eligibility will be discussed during the interview process.

Qualifications
To qualify for this position, applicants must meet all requirements within 15 days the closing date of this announcement, 01/04/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. For a GS-08 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

GS -7 Grade Requirements:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Skill in interpersonal communication to inform customers/stakeholders and present recommendations; Working knowledge of electronic office applications (e.g. Windows Office) and equipment, and emerging electronic technologies for automating office functions; Understanding of grammar, spelling, punctuation, VA correspondence format and skill in proofreading; Skill in adapting policies and procedures to emergency situations
GS-8 Grade Requirements:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-7 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Skill in interpersonal communication to inform customers/stakeholders and present recommendations; Working knowledge of electronic office applications (e.g. Windows Office) and equipment, and emerging electronic technologies for automating office functions; Applying administrative concepts, principles, and practices sufficient to perform duties involving eliminating conflict and duplication of work; Understanding of grammar, spelling, punctuation, VA correspondence format and skill in proofreading; Skill in adapting policies and procedures to emergency situations; Skill in establishing new procedures to meet new situations
Office Automation (OA) Selective Factor:
Applicants for this position must show possession of the following skill: Ability to type 40 words per minute. This position requires Office Automation (OA). Candidates must have the ability to type a minimum of 40 words per minute.
REQUIRED: Applicants may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates, by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work, however there may be some walking, standing, bending, and carrying of light items like papers, manuals, files or books. No special physical demands are required to perform the work.
