The Program Support Assistant (PSA) is located in the Care in the Community (CITC) section of the Nurse Executive Service Line within the Minneapolis VA Health Care System, and is responsible for the coordination of administrative tasks to ensure CITC functions efficiently. The PSA is the point of contact for administrative issues and maintains official documents; serves as ADPAC, TMS Administrator, and primary timekeeper.
Duties
Major duties include, but not limited to:
Prepares and reserves conference rooms and sends out invites for all staff meetings or other special events as requested. When assigned, takes attendance, provides meeting notes and distributes to the appropriate staff members.
Establishes priorities and works independently to ensure a smooth and timely flow of paperwork and processes throughout CITC with the functions assigned.
Reviews all incoming mail and correspondence, including packages, letters, and memoranda; screens material for suspense dates prior to distribution and ensures staff follow-up.
Receives, assigns, and monitors externally and internally generated correspondence and inquiries.
Reviews Veteran letters to be mailed to ensure accuracy before submitting to the mailroom for printing.
Generates and distributes daily email to all CITC staff.
Establishes and maintains emergency contact list for department staff.
Independently develops spreadsheets that will provide management with a more "focused review" of administrative data including but not limited to equipment management, room assignments, onboarding records, and telework agreements.
Orders special equipment when requested, maintains office supply lists and orders, and orders general office supplies as needed.
Greets new employees during in-processing, provides PIV sponsorship, and ensures all onboarding steps are completed on the employee's first day.
Assists in completing requirements for new employee preparation for departmental training to include user provisioning, VPN/RESCUE, softphone ticket, ePAS and keys, email/distribution groups, update split sheet, printer mapping, ticket placement for the installation of software, set up voicemail, update supervisor/phone information in FIM, assign TMS coursework, and reassign supervisor in TMS.
Provides advisory and technical assistance to administrative staff and professional staff regarding all programmatic issues.
Serves as the initial point of contact for IT issues among CITC staff and troubleshoots with the employee and/or IT staff to help resolve the issue.
Performs other duties as assigned.
Work Schedule: Monday - Friday, 8:00am - 4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for Ad Hoc telework. Telework eligibility will be discussed during the interview process.

Qualifications

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Specialized experience includes: Supporting a project or program or office; general clerical and administrative work; collect, compile, and/or track data and statistical information; organize data; preparing a wide variety of recurring and non recurring correspondence; maintain office files and records; and prepare, execute, and/or track program specific information.
