Serve as the Program Support Assistant (OA) to the HBPC Program Director and the Home Based Primary Care (HBPC) interdisciplinary staff and is responsible for coordinating and accomplishing the numerous complex and diversified activities and functions related to the daily operations of the HBPC program.

Duties

Responsible for assisting with personnel management functions in recruitment and staffing, incentive awards, employee relations, and training Prepares written documents for Title 38 pay recommendations Provides assistance to the Administrative Officer in the preparation of request for training and other related training documentation Maintains organizational chart and functional statements/ position descriptions Serve as a point of contact for patients, medical center staff, VISN staff, community agencies, and various others who contact the office Assist with any future proposal/ projects that are implemented Preparation of memoranda, meeting agendas, minutes and reports, and policy revisions, maintain files and comparable functions Assists management and technical subject matter experts in various subunits with collecting data and metrics that are leveraged within a variety of operational reports that support the program Tracks and trends issues related to program effectiveness and role implementation Create and edits unique spreadsheets in Excel and creates Access databases that compile a variety of data regarding HBPC programs and studies Participates in performance improvement activities related to the program and offers performance improvement advice to program staff Responsible for all equipment and supplies requested by HBPC staff by placing orders Maintain calendar of meetings, conference calls, and schedule leave Responsible for daily input of timekeeping responsibilities Other duties may be assigned Work Schedule: Monday - Friday, 7:30am-4:00pm Position Description Title/PD#: Program Support Assistant (OA)/PD40970-0 Physical Requirements: The work is primarily sedentary with routine walking around the medical facility. Work involves some walking, standing, bending, stooping, reaching, and some lifting (5-10lbs.) and carrying light items such as papers, books, supplies, etc. Duties require mental concentration and alertness. Requirement to meet reporting deadlines is an ongoing demand. Sitting at a computer terminal may be required on a daily basis.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-07 grade level: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: assisting in planning, development, coordination, and implementation of healthcare administrative operations; human resources functions such as recruitment, incentive awards, and employee relations; utilizing various software systems to compile/collect data, perform timekeeping functions; performing data analysis, generating reports, and preparing various correspondence; provide training to staff as well as distribute and monitor workload; and preparing reviews, correspondence, and coordinating various meetings; quality management/ improvements; knowledge of the acquisition process for medical services, supplies, and capital equipment in order to project, procure, and maintain optimal service support, supplies, and equipment; Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
