This position is located within the Pathology and Laboratory Medicine Service (P&LMS). The Administrative Support Assistant reports directly to the Laboratory Manager or higher level staff member, as assigned. The primary purpose of the position is to perform administrative support and budget-related functions which facilitate and expedite the work of management to ensure the operational effectiveness of P&LMS.
Duties
Duties include, but are not limited to:
Process and edit incoming and outgoing correspondence, reports, memoranda, data sheets and other forms of written communications to ensure responses and reports are proofread, in accurate format, and are prepared timely.
Accurately take and transcribe all taped or handwritten notes and prepare meeting minutes.
Purchase supplies/services and reconcile purchases within VA guidelines.
Maintain an accurate accounting of purchases to ensure the office remains within budget limitations.
Utilize Outlook to electronically schedule appointments, coordinate meetings, schedule video-teleconferences, telephone conferences and accurately maintain calendars.
Act as the Talent Management System (TMS) administrator for the assigned service.
Serve as receptionist for the assigned service and direct visitors and Veterans to the appropriate service/section.
Post and maintain numerous time cards for the assigned service.
Prepare and assemble various data, including narrative and statistical materials, into reports and charts to use for budget justification and other administrative purposes.
Serve as primary Records Information Management (RIM) liaison.
Act as the Talent Management System (TMS) administrator for the assigned service.
Work Schedule: Monday-Friday, 8:00am-4:30pm

Physical Requirements: This is a predominantly sedentary position. The physical demands of this position require bending, some standing, and waling. The work requires occasional carrying of light objects such as files, books, and papers, and lifting of supplies; some items are heavy (>20lbs). Use of a stepladder may be required. Trips/visits off-campus may be required.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes, but is not limited to: knowledge of administrative regulations and operating procedures used to perform administrative support/clerical functions; knowledge and skill in utilizing various information systems, databases, and computer software to perform actions such as word processing, design, and manipulation of spreadsheets and tracking mechanisms; skill in written communication to compile, draft, prepare, and finalize reports and correspondence; ability to communicate effectively with diverse groups of internal and external customers; and knowledge of procurement regulations and budgetary transactions.
There is no educational substitution for the GS-06 level.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
