This position, located at the Oklahoma City VA HCS, serves as the Supervisory Secretary of the Director's Office with responsibility for planning, developing, evaluating, and supervising the work of the Director's Secretaries.

Duties

Major duties of this position include but are not limited to... Plans, organizes, directs, and supervises the work of the Director's Office Secretaries; Assigns work to subordinates with instructions on objectives desired, anticipated problems, deadlines, and any constraints which may be imposed Reviews completed work for conformance to policies and procedures, soundness of judgment and feasibility of recommendations Develops and establishes new or revised work methods and procedures, and works with subordinates to ensure proper implementation Performs the full range of supervisory duties such as initiating and recommending personnel actions, providing orientation, determining training needs, and encouraging participation in training programs Prepares performance plans and oversees quality control of assignments that impact the Director's Office Staff, such as timekeeping, office coverage, training delegate assignments, and timeliness of action items, PIV Cards, and ADPAC duties Manages administrative and executive support activities for the Director's Office, sustaining the Medical Center's organizational mission Serves as Purchase Card and Fund Control Liaison for the Director's Office and EEO Manager by preparing and managing procurement requests Serves as primary record liaison for the Executive Staff; maintains security of confidential records, performance plans, action items, and other administrative actions Oversees the logging of complaints for the Director; ensures proper dissemination to the appropriate points of contact Work Schedule: Monday-Friday, 8:00am-4;30pm Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/20/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-08 level. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-08 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to...Knowledge of administrative concepts and practices sufficient to enable the incumbent to recommend changes in administrative policies, devise and install procedures and office practices affecting subordinate organizations, and foresee administrative problems and requirement; knowledge of the substantive programs of the hospital as they relate to the hospital's clerical and administrative functions; skilled in advising and instructing administrative assistants in subordinate organizations concerning such matters as directives, polices, reports, correspondence, training, and telephone procedures; knowledge of the Director's views sufficient to enable the applicant to perform duties such as developing material for the Director's use in public speaking engagements; knowledge of operating VISTA, Patient Advocate Tracking System (PATS), Retirement Points Accounting System (RPAS), and HR Smart; and skilled in transcribing taped dictation, and operating Microsoft Office programs Preferred Experience: Serves as Action Manager and primary liaison for all issues encompassing administrative actions for the Director's Office; Plans and organizes the work of the Director's Office Secretaries You will be rated on the following Competencies for this position: Administration and ManagementClericalInterpersonal SkillsVeteran and Customer Focus Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary.
