The position is located in the Pathology and Laboratory Medicine Service (PLMS) of the Oklahoma City VA Health Care System (OKC VAHCS) supporting the laboratory management team. The secretary performs specialized administrative tasks to assist the service by supporting and providing for fluent operation of the office. The Secretary exercises sound judgment and reason and relieves the management team of as many secretarial and administrative-type duties as appropriate.
Duties

Major duties and responsibilities include:
Screening calls and personally answering calls when the requested information concerns routine and procedural requirements.
Receiving new employees to PLMS and providing a general orientation, preparing key requests, uniform allowance requests, entering needed menu requests, and any other requirements for intake of new personnel to the service.
Arranging meetings, teleconferences, preparing agenda, recording minutes, gathering and preparing for presentations of statistical data and reports.
Processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
Performing the following types of duties: editing letters, composing letters, recording and transcribing committee minutes and preparing reports, reviewing correspondence for accuracy and completeness, preparing public presentation outlines, and developing standard or form letters and replying to inquiries.
Responsible for maintaining office and administrative files.
Scheduling appointments, coordinating meetings, and/or scheduling conferences.
Obtaining and monitoring the use of services, supplies, or equipment for the office.
Performing other duties as assigned.
Work Schedule: Monday-Friday, 7:30am-4:00pm or 8:00am-4:30pm

Qualifications
IN ORDER TO QUALIFY FOR THIS POSITION AT THE GS-6 LEVEL YOU MUST MEET THE FOLLOWING:
SPECIALIZED EXPERIENCE: You must possess at least one year of specialized experience equivalent to the GS-5 grade level in the Federal service that equipped you with the particular knowledge, skills, and abilities (KSA's) needed to successfully perform the duties of the position and that is typically in or related to this Secretary position to be filled. Specialized experience for this position includes referring visitors and telephone calls to appropriate department; processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication; maintaining appointments, calendars, coordinating meetings and scheduling conferences. (THIS EXPERIENCE MUST BE SUPPORTED BY YOUR RESUME TO BE CREDITABLE.)

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
