The VISN 2 Network Office currently has 1 vacancy for a Administrative Support Assistant in the Human Resources department. The incumbent performs a wide variety of of administrative tasks associated with maintaining and supporting the work performed within the organization. The incumbent will act as the primary liaison between the management office and administrative offices outside the organization.
Duties
Major duties include but are not limited to:
Receives office visitors and telephone calls, screens contacts for nature of business and makes referrals to the appropriate office personnel.
Takes and records messages of contacts.
Retrieves information from varied sources to assist staff in responding to telephone contacts.
Maintains calendars of appointments, conferences and meetings, arranges schedules based on personal knowledge of higher level of employees availability, workload and priorities; reschedules appointments when conflicts are discerned.
Receives, reviews, logs, and routes incoming correspondence, screening for items which can be handled personally, referring others to staff for appropriate action and/or disposition.
Searches files and identifies information or backup material relevant to inquiry or working documents.
Reviews outgoing correspondence for procedural/grammatical accuracy, correctness, adequacy and compliance with existing policies and/or procedures and ensures all enclosures are attached.
Collects information for internal and external sources to accommodate program requirements
Performs specialized work involving the collection, compilation and/or tracking of data and statistical information in support of the organization's programs.
Enters information into various automated tracking systems.
Track all financial, personnel, supply, and other administrative transactions as the documentation flows through the office in both electronic form and on paper.
The incumbent is the fund control point clerk, orders supplies and equipment through the appropriate source and will track purchases.
Collect data for the office operating budget and consolidate the material into an annual budget; set up controls to monitor expense during the year and recommend budget adjustments based on trends.
Provides administrative guidance and assistance with human resource activities ensuring completion/coordination of required documents, assists in writing position descriptions, setting up interviews, holds new employee orientation for the office and various other duties to support the human resource needs of the office.
Establishes and maintains an office filing system.
Serves as Time and Attendance representative. Maintains/posts timecard entries and ensures accurate and proper tour positing.
Work Schedule: M-F 8:00AM - 4:30PM

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/18/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Comprehensible working knowledge of the mission and functions of the VISN Offices. A broad understanding and detailed procedural knowledge of administrative areas such as: transfer of funds, supply acquisition, personnel and the information processing function of the VISN. Knowledge of and automated data processing systems, procedures and processing methods sufficient to create, enter, store, maintain and retrieve information concerning the VISN programs. Knowledge and skill to recognize the dimensions of the administrative problems encountered. Ability to function independently and in a team environment.

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items.
