The purpose of this position is to provide program and administrative support to Primary Care and Specialty Medicine Service Line leaders and staff. The Program Support Assistant provides direct support to four Service Line Leaders, (ACOS/PC, ACOS/SM, PC/SM Administrative Officer (AO), and Chief Nurse) comprised of approximately 90 physicians/advanced practice clinicians and additional 360 direct and indirect staff as required for the day to day management of service line operations.

Duties

Duties include but not limited to: Screens calls and visitors to the PC/SC Administrative Office determining which can be handled personally, which should be referred to the Administrative Officer, and which should be directed elsewhere. Composes correspondence, which is both routine (following samples of previous, similar correspondence) and unique in nature (composed from facts gathered, personal knowledge, verbal communications, and sometimes sketchy documentation). Establishes and maintains the Service Lines ACOS/PC & SM and AO personal files of correspondence and documents concerning special programs and projects, subordinate personnel, investigations and/or problems regarding patients, employees, training etc. Performs purchase card duties for Service Lines as authorized by the AO. Uses MS Office 365 and Adobe software applications to execute office automation functions. Manages computer user account access (ADPAC) for service line staff and providers, process ePas and provider person class requests and changes. Arranges travel for the Service Line Director(s), AO and other staff (physicians and nurses) preparing necessary paperwork for funding through Education Service. Attends all service line group meetings and takes meeting minutes for conferences and meetings, transcribes meeting minutes for review and signature by conference or meeting leader or service line leadership. Assists service line leadership with maintaining compliance with mandated human resources policies. Works with service line leadership, establishes protocols for incoming data, organizes computerized data sets and retrieves computerized data. Assists in the planning, review and reporting of data/statistical results of program/project studies - often used for review in Service Line committees. Performs other related duties as assigned by service line leadership. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. Proficiency Requirements: In addition to meeting experience requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. Applicants must meet the proficiency of 40 words per minute typing speed. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: collecting, compiling, and/or tracking data and statistical information to monitor service line programs or initiatives; utilizing computer software systems to store and retrieve electronic documents and files; creating and formatting letters, reports, and memoranda; screening calls and visitors; scheduling appointments and arranging meetings; ordering and maintaining supplies for an office. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

There is no educational substitution for the GS-06 level.
