This position is located in Nursing Service of the Boise VA Medical Center, Boise, ID and functions as the Nursing Service Administrative Support Assistant performing highly complex administrative duties relevant to program functionality, development evaluation and data system management in direct support of the Nursing Service Associate Chief Nurses (ACNs) for Outpatient, Inpatient, Specialty and Geriatrics and Extended Care.
Duties
The Administrative Support Assistant is responsible for the development, monitoring and sustainability of new and existing programs and their administrative functioning, and in the absence of the AO, the incumbent will be the primary sole point of contact with duties relevant to program management and analysis providing direct program analysis support and direction the Associate Chief Nurses and Unit RN Managers.
Incumbent serves as the primary point of contact for all inquiries and communication for Nursing Service. They must possess good communication and presentation skills, both orally and in writing. Types, reviews and edits outgoing correspondence prepared by ACNs, Managers and other clerical staff for grammatical accuracy, appearance, content and conformance with regulations and correspondence policy as required. Incumbent will maintain correspondence, reports and station memorandum and policies.
The Administrative Support Assistant will collect and validate service utilization and performance improvement data and ensures that management and clinical information systems are in place and functioning. Incumbent will routinely communicate pertinent data and training needs to ACNs. The incumbent manages a system of communication in support of Nursing, ensuring that data and team reports are made available to staff and affiliates as appropriate.
Incumbent builds spreadsheets using data extracted from computer programs and must possess expert knowledge and skill in the utilization of Access database, Excel, Word and PowerPoint programs. They will organize and present reports, finding and recommendations to ACNs and Medical Center leadership in a clear and logical manner.
The incumbent will extract, organize and present data to the ACNs, AO, VISN and VACO suspense actions items and other leadership in a clear concise and logical manor. The Administrative Support Assistant will be critical in development of the Nursing Access Database, entering, importing and extracting data. They will also analyze the function of the database in the forms and reports it produces, reviews other data to be added and how we can expand the functionality to save time and increase reporting within the service.
Work Schedule: Monday-Friday, 08:00am to 4:30pm

Qualifications

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: but is not limited to: Providing administrative and technical support for an office; collecting, compiling and tracking data and information; ordering and maintaining office supplies; reviewing all incoming and outgoing correspondence; preparing a range of correspondence and reports; establishing, updating and maintaining office files and records; and utilizing office automation software such as Microsoft Office (Word, Excel, Outlook and PowerPoint). Note: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hour worked per week.
Proficiency Requirements-In addition to meeting Specialized Experience the following is required: Typing Proficiency: 40 words per minute typing speed. Applicants may meet this requirement by presenting a certificate of proficiency from a school or other organization authorized to issue such certificates or by self-certifying their proficiency.

Education
There is no educational substitution for the GS-06 level.
