The incumbent provides high-level administrative support in the implementation and ongoing management of VAPAHCS' QSV programs, which includes the following sections- Quality & Safety, Infection Prevention & Control (IPC), High Reliability Organization, Education, and Process Improvement (Pl) - and the Office of the Chief.

DIRECT HIRE AUTHORITY: This position is being filled using Direct-Hire Authority (5 CFR 337.201) for this occupation. Major Duties: Provide high-level administrative support in the implementation and ongoing management of programs, which includes the following sections- Quality & Safety, Infection Prevention & Control (IPC), High Reliability Organization, Education, and Process Improvement (Pl) - and the Office of the Chief. Responsible for maintaining an optimal level of supplies; this includes initiating action when necessary for the procurement of supplies. Serve as Alternate Records Management Liaison, maintaining a service-level records inventory and file plan. Create and manages forms, charts, and posters, often complex, utilizing Power Point, Excel, VISIO, and Microsoft Word. Acts as the resource person on all questions regarding services provided by the Service. Record, prepare, and maintain monthly minutes for all meetings, such as staff meeting and Quality Executive Council (QEC) meetings, and assists in preparing the agenda for the meetings. Prepare travel requests and vouchers for domestic and local travel for QSV staff. She/he will manage travel for the Chief of QSV and Deputy Chief of QSV and assist staff in the use of Concur. Create and compile weekly, monthly, quarterly, and annual reports, including special or recurring reports utilizing multiple sets of data. Courteously receives visitors and telephone calls and determines through own judgment those which can be handled routinely, refers calls as appropriate to staff for action when more in-depth or privileged information is required, and triages all calls for urgency and/or assimilate all information necessary for staff to respond to telephone calls and/or will refer to proper source. Other duties as assigned. Work Schedule: M-F, 8 AM - 4:30 PM Position Description Title/PD#: Program Support Asst (OA)/PD640-02409-O Physical Requirements: Work is primarily sedentary. Work will involve some walking (between different offices, and to/from different areas of the Service), standing, bending, and lifting of light objects (such as books, files, papers, etc.), as well as a good deal of work on a computer keyboard.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-07 grade level: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: serving as advisors and experts to the Section Chiefs and supports the management information components; serving as a management analyst, tracking and assisting with suspense items, assists in managing all equipment, maintains a service-level records inventory and file plan, manages a spreadsheet to identify and track record titles, descriptions, locations, volumes, filing instructions, and dispositions, creates and manages forms, charts, and posters, often complex, utilizing Power Point, Excel, VISIO, and Microsoft Word, designs detailed charts and graphs; serving as an assistant of administrative functions, reviews all correspondence/publications prepared for the signature of individuals to ensure correct format, grammar, spelling, punctuation, appearance, and assembly. There is no educational substitution for the GS-07 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
