The primary purpose of this position is to serve as a Child and Youth Programs Clerk, assisting in the day to day clerical operations using multiple office automation software with varied functions to produce a wide range of documents to provide administrative and clerical support for child development programs of the Child Development Center.

Duties

Performs clerical and administrative support of the office/organization using varied functions of multiple office automation software to produce a wide range of documents and formats, to include but is not limited to child care enrollments/registrations, child care services, file maintenance, immunizations, payments/fees, waiting list, and nutrition services. Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents. Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives. Receives telephone calls and greet visitors. Establishes, updates, and maintains office records of various types.

  • This position has been identified as having regular contact with children. IAW Public Law 101-647, a State Criminal Repository (SCHR) and National Sex Offender Public Website check will be completed on any person selected for this position.
  • An Installation Records Check (IRC), a Defense Control Investigation and Index and a Child Care National Agency Check with Inquiries (CNACI) every 5 years. Employee must complete a DD Form 2981 Basic Criminal History and Statement of Admission.
  • This position requires a physical/medical examination. Must provide evidence of required immunizations and maintain current immunizations.
  • Employee is subject to obtaining and maintaining training to include administrative training modules.
  • Position provides support and assistance during fire, safety, and other emergency when required.
  • Conducts formal and informal tours of the facility to prospective patrons and guests.
  • IAW AFI 34-144 must complete a physical examination no later than 60 days after appointment and update every three years.
  • Employee may occasionally assist in the child care classroom during emergencies.
  • The work requires the employee to drive a motor vehicle. An appropriate, valid driver’s license is required for the position.
  • This position has been designated by the Air Force as a Testing Designated Position (TDP) under the Air Force Civilian Drug Demand Reduction Program. Employee must pass initial and periodic short notice drug testing.
  • The incumbent must have the ability to type a minimum of 40 WPM.
  • Must complete additional training requirements to include Cardiopulmonary Resuscitation (CPR), First Aid, rescue breathing, customer service, cash handling and modules.
  • This position may be designated mission essential based on local conditions. Mission essential personnel report for duty at normal times when the base is closed or delayed reporting, and remain on duty during phased or early release.
  • Travel and relocation expenses will NOT be paid.

Qualifications

In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-04, or equivalent in other pay systems. Examples of specialized experience includes knowledge of a body of standardized rules, procedures and operations involved in a Youth Programs atmosphere, performing standard clerical and administrative assignments that occur in the normal child development center, and resolving recurring problems; performing various office automation software processing procedures to generate reports and produce a variety of documents; exercising financial responsibilities including computing, collecting and recording fee collections; preparing various routine correspondence/reports using knowledge of grammar, spelling, capitalization, punctuation, and commonly used specialized terminology; maintaining files/ records and reviewing and processing mail. OR EDUCATION: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. NOTE: You must submit a copy of your transcripts. OR COMBINATION OF EXPERIENCE AND EDUCATION: A combination of education and experience may be used to qualify for this position, only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. NOTE: You must submit a copy of your transcripts. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Knowledge of various office automation software programs, tools, and techniques to support office operations and produce a variety of documents, such as letters, reports, spreadsheets, databases, and graphs. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence and reports. Knowledge of format, rules, procedures and operations applicable to clerical assignments to prepare/review routine correspondence/reports, screen telephone calls and visitors, maintain files/records, review and process mail, and perform clerical procedures to arrange a variety of material from different sources and other administrative work of organization. Skill in typing; a qualified typist is required. Ability to locate, assemble, and compose information for routine reports, inquiries, and nontechnical correspondence. Ability to communicate effectively, both orally and in writing, using tact and courtesy. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
