The Program Support Assistant (also known as the House Staff Coordinator), reports to the Supervisory Program Specialist, and is responsible for overseeing the in-processing and out processing of all residents and fellows within Medical Specialties. Medical Specialties Service in the North Florida/South Georgia Veterans Health System is a multi-specialty Service comprising 2 Medical Centers, 3 large Outpatient Clinics, and several Community-Based Outpatient Clinics.
Duties
Major Duties for the Medical Specialties Program Support Assistant (House Staff Coordinator) include, but are not limited to,
Manage the in-processing for all new residents and fellows to include coordination with Human Resources, Police Service, Credentialing, ACOS of Education and Information Security for all pre-employment requirements prior to Orientation
ADPAC for residents and fellows, entering and tracking all ePas requests, Vista Access/Verify Codes, User Provisioning tickets, and PIV Sponsorships
Oversee the out-processing of residents and fellows at the end of each academic year
Responsible for all Fellow time keeping
Provides general administrative support to the sections for; inventory and ordering of supplies; facilitation of patient care; reviewing of correspondence for proper spelling, punctuation, formatting, and grammar; creating, organizing, maintaining records; processing mail
Other duties as assigned
Work Schedule: Monday-Friday 08:00 a.m.-04:30 p.m.

Physical Requirements: The work is usually sedentary, but it typically requires walking, standing, and bending, and may require carry of light items such as books, papers, instruments, laptops, and other similar materials.

Qualifications

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization.
Specialized experience includes:
Primary and backup timekeeping
Receive phone calls, e-mails, personal inquiries, and other correspondence
Function as the information manager including new employee assistance with computer access.

Proficiency Requirements for Office Automation positions - Typing Requirements: In addition to meeting experience or education requirements, applicants for Office Automation must certify that the candidate can type 40 words per minute.
