Duties

Duties include, but may not be limited to:
General Duties:
Furnishes reminders of important deadlines; independently identifies, locates, compiles, and organizes relevant background data for briefings.
Organizes and files memoranda and correspondence; and provides reminders and updates on staff and management changes.
Maintains master appointment book, including entering appointments into computer and maintaining the dental laboratory technician appointment book.
Controls examination and treatment appointments for dentists, hygienist(s), and student hygienists, ensuring that all schedules remain full.
Keeps records of all meetings that dentists and assistants are required to attend and schedules patient visits to avoid conflict.
Identifies need for, designs, collects, and follows continuous quality improvement monitors for diverse clinical and administrative activities and participates in identifying areas for which monitoring is needed as well as areas no longer requiring attention.
Keeps abreast of deadlines, anticipating duration of time necessary for preparation, assembling, and organizing necessary background information, preparing required forms, and obtaining additional input and signatures as required.
Dental Service Productivity:
Establishes clinic profiles for Dental Service clinics and is responsible for clinic availability data accuracy through utilization of clinic availability cancellation and restoration function.
Implements the Comprehensive Oral Exam Monitor for Class I, IIC, and IV Dental. Patients, identifying and scheduling patients who need to be seen in compliance with this monitor.
Receives eligibility determination documentation and independently identifies appropriate action to include scheduling Class I, IIC, and IV patients for initial examination within 30 days in compliance with Advanced Clinical Access mandate.
Essential Service-Specific Resource Roles:
Serves as administrative education liaison for Dental Service: Tracks all education experiences undertaken by dental staff, completes and files registration forms, keeps staff informed of their status with respect to education requirements, and completes and submits training requests to the Education Committee.
Utilizes word processing functions of the personal computer, prepares letter and memorandum correspondence.
Acts as timekeeper, and routes mail appropriately.
Supervises Dental Clinic Reception Area:
Enforces policies regarding the scheduling of patients and communication with those who have failed or no showed for appointments, assignment of patients to dentists, and maintenance and disposition of dental records.
Schedules coverage of reception desk to maintain continuous coverage during clinic hours.
Identifies and assigns necessary adjunctive duties to those working in the reception area.
Trains dental assistants working in the reception area in the skills of scheduling, use of appointment book and computerized scheduling package, patient interaction (telephone and in person) and data entry (productivity and appointment data).
Work Schedule: Monday - Friday; 8:00AM - 4:30PM

TYPING PROFICIENCY REQUIREMENT - In addition to meeting experience or education requirements, applicants must be able to type a minimum of forty (40) words per minute and have knowledge of office automation equipment and software.

SPECIALIZED EXPERIENCE: GS-5: One (1) year of specialized experience that equips you with the knowledge, skills, and abilities to successfully perform the duties of the position. To be creditable for the GS-05 the experience must have been equivalent to the GS-04 in Federal service. Examples of experience includes; maintaining the office calendar, composing and editing correspondence, taking meeting minutes; receiving visitors and responding to telephone calls, using a personal computer and software, generating reports and prioritizing work to meet deadlines; understands various office automation software programs, tools, techniques to support office procedures and produce a variety of documents such as letters, reports, spreadsheets; maintaining the office calendar, composing and editing correspondence, taking meeting minutes; receiving visitors and responding to telephone calls, using a personal computer and software, generating reports and prioritizing work to meet deadlines.

SUBSTITUTION OF EDUCATION FOR EXPERIENCE: GS-5: having four (4) years of successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. (TRANSCRIPTS REQUIRED)

COMBINATION OF EDUCATION AND EXPERIENCE: GS-5: Equivalent combinations of successfully completed post high school education and experience may be used to meet total experience requirement at the GS-05 level. Only education in excess of the first sixty (60) semester hours is creditable toward meeting the specialized experience requirement. For example: Six (6) months of specialized experience and two (2) years of successfully completed education above the high school level would meet this requirement. (TRANSCRIPTS REQUIRED)
