This position is located in Geriatrics, Rehabilitation, and Extended Care (GREC) Service at the Mann-Grandstaff VA Medical Center (MGVAMC) located in Spokane, Washington. The primary purpose of the position is to assist the Chief, GREC Service and subordinate staff to by performing clerical and administrative support activities required to accomplish necessary tasks in support of the service mission.
Duties
Duties include but are not limited to the following:
Serves as receptionist and secretary to GREC Service.
Receives, schedules, refers and contacts medical center staff, visitors and callers from such organizations as: general public, congressional offices, members of the news media, state and local officials, and high-ranking officials in the medical field.
Forwards request for information from such high-level contacts to the Chief, GREC and/or the Administrative Officer (AO) for action and disposition.
Processes incoming and outgoing materials such as Congressional correspondence, reports, suspense's, memoranda, and other forms of written communication.
Provide administrative/clerical support to the AO in completing final typed drafts of letters, reports, audits, and memoranda.
Schedules appointments, coordinates meetings, and/or schedules conferences.
Maintain all of the files, manuals, regulations, circulars, directives, numbered memorandums, interim issues, etc. on a current basis.
Obtains and monitors the use of Service, supplies, and/or equipment for the office and Service.
Places orders using a government issued credit card through assigned fund control points, reconciles and audits orders.
Monitors the fund control point for GREC, ensuring no overspending of funds occur.
Serves as timekeeper for the Service.
Prepares travel authorizations for Service members to include creating travel plans using an electronic travel system.
Operates all types of office equipment.
Operates and utilizes such computer applications for research, data gathering and reference.
Submit Automated Requests for Personnel Actions using web based programs.
Responsible to in-process and out-process GREC employees by completing PIV sponsorship to obtain the proper computer access, adding employees to mail groups and phone rosters, submitting work orders for office keys, voicemail and computer related requests, assisting with name plaques and mail boxes, etc.
Update and maintain the Focused Professional Practice Evaluation's (FPPE) and Ongoing Professional Practice Evaluation (OPPE) provider profiles.
Prepare FPPE's and OPPE's based on information from the Chief, GREC.
Other duties as assigned.
Work Schedule: Monday-Friday, 7:30am to 4:00pm

Qualifications
To qualify for this position, applicants must meet all requirements within 30 days of the closing date of this announcement, 11/15/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements within 30 days of the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Proficiency Requirements: In addition to meeting experience requirements, applicants for Office Automation positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test.
You must be able to type 40 words per minute.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization, and that equipped you with the particular knowledge, skills and abilities to perform successfully in the GS-6 Secretary position. Examples of specialized experience would typically include, but are not limited to: Receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; utilizing office automation software and maintaining files. NOTE: Specialized experience must be detailed in your resume to receive credit.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The secretary works within a typical office setting. The secretary must be mobile as visits to various areas of the hospital away from his/her office are required at numerous times daily. The work requires light lifting of items weighing less than 15 pounds such as books, reports, and binders. The work requires the use of a keyboard to access a computer.
