The Program Support Assistant (Office Automation) performs a variety of clerical and administrative support duties for the home telehealth program; and performs office automation support using multiple automated programs and software such as databases, spreadsheets, and graphics in support of the clerical and administrative work.
Duties
Duties include but are not limited to:
Gathers, prepares, and interprets for various admissions, discharges, and' patient census reports data.
Maintains and updates database with patient information.
Develops and maintains reports using spreadsheet software packages to create and compile weekly, monthly, quarterly and annual reports; quality assurance, care plans in place, and other required Home TeleHealth Program (HT), documentation in Computerized Patient Record System (CPRS).
Compiles data for performance improvement monitors and other special or recurring reports.
Assists with the orientation of new Program Support Assistants (PSA's) to the CPRS, Veterans Health Information Systems and Technology Architecture (VISTA); and monitors vendor guidelines for Home TeleHealth (HT).
Enters documentation into VISTA, CPRS and Vendor Equipment.
Assists patients in contacting other services provided by the VA as indicated such as Social Work and Volunteer Services.
Compiles statistical reports and cost accounting data and implements nationally standardized protocols for incoming data.
Organizes and maintains patient data and retrieves a variety of computerized data.
Ensures encounters are completed in order to obtain appropriate workload credit.
Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets.
Transmits and receives documents and messages electronically using personal computers or workstations that are networked or linked to other computers.
Triages calls for urgency and/or assimilates information necessary for HT staff to respond to calls and/or refers to proper source.
Takes messages and forwards to appropriate staff.
Maintains HT Patient Emergency Plans, as well as maintains Program and Facility Emergency Plans as mandated.
Provides advice and guidance on clerical and procedural requirements and instructions to the staff members assigned to the HT.
Reviews and updates office procedures to ensure effective and efficient operations regarding the clerical, procedural, and administrative work of the unit.
Establishes, maintains, purges, and disposes of office records/files in accordance with regulations and procedures.
Prepares, consolidates, submits, and maintains time and attendance records in accordance with established procedures.
Requisitions office supplies, printing support, and related materials and services; and prepares and submits repair work orders.
Maintains verification of logging daily mileage, coordinates use of vehicle and reports to appropriate services including maintenance shop for oil changes, etc.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/01/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: gather data from multiple databases to complete daily, weekly, monthly, quarterly, and annual reports; assists with budget preparation and reporting to meet program requirements; accepts telephone calls from multiple sources regarding program inquires and patient concerns; establishes, updates, and maintains office procedures and records of various types that may be needed or will assist in the efficient operation of the office.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years above high school in any field for which high school graduation or the equivalent is the normal prerequisite. This education was obtained in an accredited business, secretarial or technical school, junior college, college or university. If you are qualifying on education, transcripts are required. (Transcript Required).

Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond high school. Education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (Transcript Required).

Proficiency Requirements: (Office Automation) In addition to meeting experience and/or education requirements, applicants for these positions must show possession of experience and skill utilizing various types of office automation software (i.e., Microsoft Word and/or Excel) and a typing proficiency of at least 40 words per minute. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for three (3) years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test.

Physical Requirements: The work is mostly sedentary in nature. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, etc. No special physical demands are required to perform the work. The work environment involves everyday risks or discomforts, which require normal safety precautions typical of such places as offices, meeting and training rooms. The work area is adequately lighted, heated and ventilated.
