Provides administrative and assistance to the Chief of Audiology, Audiology Service, El Paso VA Health Care System (EPVAHCS). Resolves problems associated with the administration of the department and is responsible for research and documentation of material for reports. Assists in the dissemination of work associated with the functions of the office and responsible for a large variety of administrative duties relevant to the functioning of sections and programs of the Audiology Service.
Duties
Ensures that all administrative requirements of the Audiology Service are handled correctly and that the clerical work is completed in proper format and on a timely basis.
Reviews all incoming mail, making proper distribution and calling attention of the Chief any correspondence that requires immediate action.
Relays suspense dates and action items to section and individuals under the Audiology Service, and ensures timely tracking and abatement if needed.
Provides information and expertise needed to all personnel in the service, i.e, format, policy, etc., of all correspondence and written material.
Arranges meetings, and when necessary, reschedules meetings by advising concerned individuals, arranging mutually convenient times, and advising the supervisor of pending appointments, meetings, and other commitments.
Maintains a calendar for all daily, weekly, monthly, quarterly and annual meetings as well as reports.
Maintains a suspense file and completes a weekly status report to ensure that reports and replies are submitted in a timely manner.
Submits requests for travel, makes necessary travel arrangements and prepares expense reports upon completion of travel for the service.
Receives all telephone calls and personnel visitors to the service or staff.
Acts a Record Liaison Officer for Audiology Service to include reviewing existing policies, directives, publications and files to ensure that only essential material is being retained.
Schedules and attends all staff meetings, makes reservations for meeting rooms, notifies participants, prepares agenda and final minutes for meetings for distribution.
Coordinates administrative work in the office of the Chief such as reports, letters, memoranda, etc. to be prepared by members of the office staff, as required, to maintain smooth flow of work and meet submission requirements.

Qualifications

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: work that involved knowledge of clinic operations that enable the employee to collect, compile, correlate and maintain production data from records, personnel, and computer sources; taking and transcribing notes and minutes by recording that include familiarity with medical terminology; knowledge of correct grammar, spelling, punctuation, style, required format; operating computer software programs to prepare correspondence, special reports graphs and statistical spreadsheets; qualified typist is also a requirement for this position. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years of education above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education as described above. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.

Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
