This Program Support Assistant (OA) position is located in the Nursing Service, at the Milwaukee Wisconsin Healthcare System. The position includes a broad range of secretarial and administrative responsibilities, which arise from the central role that the Nursing Service has in support of the mission of the Milwaukee Wisconsin Healthcare System, VISN-wide and nationally.

Duties

Duties Include: Provides general office support for the Nursing Service including clerical work through use of office automation systems, electronic mail, word processing, data base and spreadsheet software. Assisting in development of new or enhanced procedures and programs. Independently resolves office automation hardware and software problems. Maintains data bases to accurately reflect current status of organizational charts and employee staffing, as well as any applicable recruiting needs or proposals. Initiates appropriate documents to process new actions, renewals and cancellations. Processes employee gains, losses, inter-unit transfers and details. Collaborates with Human Resource staff on the processing of employee personnel actions, promotions, and retirements. Reviews outgoing correspondence for procedural and grammatical accuracy, attachments, dates, signature, complete address and correct destination. Prepares new or revised education materials, competency documents, position descriptions, functional statements, for employee orientation and continuing. Ensures timely preparation and filing of records/report for employees, individual unit competency folders and other requested material. Initiates, signs and follows up on completion of various types of work orders. Serving as Timekeeper, posting employee time and attendance and maintaining time and attendance reports. Maintains inventory and safe handling of office equipment and supplies. Schedules and coordinates interviews for prospective employees when multiple program managers are to be involved with the interview process. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/27/2023. You may qualify based on your experience and/or education as described below: Specialized Experience: Must have at least (1) one full year of specialized experience equivalent to at least the next lower grade level (GS-4) in Federal service that equipped you with the particular knowledge, skills and abilities to perform successfully. Specialized experience includes: Working with computer programs including Microsoft Word, database programs and office equipment; Using proper grammar, spelling, capitalization, punctuation, format, medical terminology and clerical procedures in order to accurately type and proofread written materials; Working with filing systems, office operations, reference and manuals; Performing routine administrative/clerical work. OR Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have completed a full 4-year course of study, above the high school level. (TRANSCRIPTS REQUIRED) OR Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education beyond the second year of undergraduate level coursework. (TRANSCRIPTS REQUIRED) Typing Proficiency: Must be able to type at least 40 words to minute. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is predominantly sedentary with extended periods of sitting while operating a computer. The work also involves the ability to bend, squat, reach, lift and carry light files, office supplies and medical records.
