The position is at the full performance level located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), at the VA Greater Los Angeles Healthcare System (GLA) in Nutrition and Food Services (NFS). The primary purpose of the program support assistant is to coordinate a wide variety of administrative and clerical tasks essential to the management of the Administrative Dietetics Section within NFS.

Duties

Produces a wide range of professional grade documents and correspondence for Nutrition and Food Service Uses the appropriate office automation or word processing application (i.e. MicrosoftWord) for internal and external department correspondence, as well as procedural documentation Creates and ensures reproduction and distribution of tray messages for all holidays and NFS special announcements utilizing programs such as Microsoft Publisher; documents must create interest to stimulate appetites and attract interest Assists with maintenance of Computrition and Vista software packages, including entering, editing, and printing electronic copies of menus, recipes, and special documents for the service Provides support for the to the dietetic interns in the Administrative Dietetics Section, attending events and assisting as indicated Maintains an electronic filing system and library of all quality control documents (blank forms, completed forms and reports) and patient satisfaction survey data and reports Provides reception and liaison services for the Administrative Dietetics Section, providing information, background materials and clerical format advice related to the business of the section TMS coordinator for NFS. Keeps employee lists accurate, records mandatory trainings, provides updates to employee log-ins and passwords, provides list to Section Chiefs and supervisors of employees due/overdue for training, and provides monthly report to the Chief Reviews and monitors data collection and statistical information in support of the department and program operations and performs basic analysis of data and generates a variety of reports to support the Chief or other managers, including but not limited to plate waste studies, patient satisfaction surveys, and quality control data. Conducts the NFS patient satisfaction survey quarterly following standard operating procedures, including interviewing the identified number of patients in designated areas Incumbent is a purchase card holder and complies with all the acquisition regulations, both Federal, VA and local Reconciles purchase card charges within the established time limits and resolves disputes of unknown or incorrect charges also within the established time limits Conducts annual equipment inventory, within established timeframes Work Schedule: Monday - Friday 7:00am - 3:30pm Virtual: This is not a virtual position. The work environment involves everyday risks or discomforts that require normal safety precautions. The sedentary and may require some walking, standing, bending, carrying and/or lifting of light items like papers or books. The work requires light to moderate levels/times performing keyboarding to prepare correspondence.

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/29/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; purchase card experience in a hospital or business setting, establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information. You will be rated on the following Competencies for this position: CommunicationComputer SkillsInterpersonal SkillsManages and Organizes Information Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: Regular and recurring work is mostly sedentary involving sitting at a desk, although the position requires the ability to move from one geographic location of the facility to another. The incumbent works with a computer screen and keyboard. Some physical effort such as standing, walking, bending or prolonged sitting may be required. The incumbent may be exposed to walking to outlying areas. The work places no special physical demands on the employee.
