The VA Northeast Ohio Healthcare System is recruiting for a Program Support Assistant. The Program Support Assistant is assigned to Physical Medicine and Rehabilitation Service (PM&RS). The incumbent functions primarily as the sole administrative assistant for PM&RS for the Louis Stokes Cleveland VA Medical Center.
Duties
The Program Support Assistant duties include, but are not limited to:
Recognize and resolve program issues on an ongoing basis.
Assist in requesting/updating clinic set ups which includes verification of correct stop and credit codes.
Review clinic utilization by pulling utilization reports.
Recommend and implement changes to enhance productivity and patient access.
Gather data from various sources on clinic utilization including VISTA, VSSC and Decision Support System (DSS).
Keep constant surveillance on clinic wait times and missed opportunity rates, creating reports for the Chief, Manager and AO.
Coordinate the collection, compilation, and/or tracking of data and statistical information in support of PM&RS.
Participate in the analysis and interpretation of various databases utilized by the program and service.
Gather and submit outcome data to Uniform Data Systems (UDS) for the Comprehensive Integrated Inpatient Rehabilitation Program (CIIRP) and the ASP for benchmarking against other programs and Functional Status Outcomes Database (FSOD) for VA continuum of care costs and service utilization comparisons, meeting national deadlines for entry.
Maintain an internal database on clinical measures pulled from the Medical Record (CPRS) and health factors reports.
Submit equipment and supply requests to logistics for purchase.
Schedule and arrange meetings.
Maintain and distribute meeting agendas and meeting minutes.
Receive and screens calls and visitors to the Office of the Chief, PM&RS.

Qualifications
In order to qualify for this position, you must meet the following requirements within 15 calendar days of the closing date listed on the announcement:
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

All Title 38 Veterans Canteen Service (VCS) employees must have served in their Excepted Service position for at least 90 days in order to be eligible for a position within the Competitive Service.

You may qualify based on your experience:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience may have been gained in a Clerical or Administrative Support environment and include, but are not limited to: providing administrative support, operating a personal computer, using a computer to process and analyze data, sorting and processing incoming correspondence, coordinating with others between various units and offices to accomplish work related projects, analyzing work flow to determine potential problem areas and making recommendations to correct, proofreading documents for grammatical errors, notifying others of pending appointments and meetings, and advising others on processes or procedures.

Physical Requirements: The physical demands of the position involve standard office requirements such as using the telephone, working with written documents and files, writing, etc. Some walking, standing, bending, carrying of light items such as books, files, papers, etc., and pushing of carts may be involved. Considerable walking between various buildings of the facility is required and occasional off-station activities may be required.
