This position is located in the Department of Veteran Affairs, Veterans Health Administration (VHA), Mid-Atlantic Health Care Network (VISN 6), Salem VA Medical Center under the Access and Scheduling Management Service (ASMS). The Access and Scheduling Management Service is named internally at the Salem VAMC and is directly aligned with the Health Administration Service (HAS). The incumbent works under the supervision of the Chief of Access and Scheduling Management.

Duties

Duties include but not limited to: Provide advice and guidance to subordinate organizations staff and clerical personnel on administrative, clerical, and procedural requirements and instructions, and assists in solving problems to which existing guidelines can be applied. Update tracking Page 1 of 9 systems or suspense files for unclassified document control, as required, using the SharePoint and VistA Scanning. Establish, maintains, purges, and disposes of files and records in accordance with established regulations and procedures. Perform administrative and technical support in the forms of typing, transcription, minutes, preparation of correspondence, and assists with submitting travel request for the ASMS (ie: vehicle/car rental requests, SharePoint/LEAF requests, etc.) Process incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication without Supervisory input based on knowledge of office policy, procedure, and preference. Provide general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper format and attachments, and consolidating/coordinating submittals of information. Provide general clerical public contact support services, such as answering the phone, referring visitors, or providing information about the office, its functions, and standard operating procedures, as well as similar information. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/23/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Selective Placement Factor: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: One year of clerical - secretary experience i.e., receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; maintaining files and proficient in electronic typing, scanning, Microsoft - word, excel and PowerPoint. You will be rated on the following Competencies for this position: ClericalCustomer Service (Clerical/Technical)Writing Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary. Typically, the employee may sit comfortably to do the work. However, there may be moderate walking, standing, bending, pushing, pulling, twisting, stooping, and carrying of light items like papers or books. No special physical demands are required to perform the work. The incumbent may be required to walk across the campus, in inclement weather, to retrieve documents, items, or vehicles as necessary for the performance of the work conducted in the ASMS.
