The Materials Handler Supervisor supervises the Mailroom and Reproduction sections of Material Management, Supply Chain Services. The incumbent will be responsible for the overall directing, planning, developing, implementing, evaluating, and controlling of the Mailroom and Reproduction operations for the entire VA Palo Alto Health Care System (VAPAHCS). Supervises the receipt, processing, security, delivery, and shipment of mail within the VAPAHCS through employees and leaders.
Duties
Major duties and responsibilities include, but not limited to:
Distributes work fairly among employees.
Provides needed materials, equipment, tools, protective equipment and clothing to employees to make sure the mailroom is maintained, swept, dusted and tools and equipment are place in proper locations.
Submits work orders for needed repairs of real property or equipment.
Ensures mail is secure and processed on a same-day basis and mail requiring special handling is processed appropriately following established guidelines, procedure, and timeframes, including overnight and registered mail.
Ensures tasks are accomplished in the most cost efficient and customer oriented manner possible. Incumbent is also responsible for overseeing all aspects of the internal automated package tracking system (SC Logic) and ensures all updates for work stations are functioning properly.
Manages and project an annual budget for the Mailroom which includes Federal Express and United Parcel Service (UPS) and USPS shipments, mail meters, etc.
Schedules and coordinate leave of subordinates and set performance requirements.
Supervises reproduction services for VAPAHCS.
Attends Logistics supervisory meetings and meets with the Chief, Warehouse Operations and the Chief, Materiel Management, Logistics Management Service.
Prepares reports requested by the Warehouse (Materials Handler) Supervisor regarding storage and distribution activities and other special projects; provide other oral and written reports.
Assists in coordination of training needs for all subordinate personnel and identifies formal training requirements including mandatory training; certification for forklift operations, driver's licenses renewals; etc. and provides on the job training as needed.
Responsible for the physical security of the warehouses, mail rooms and reproduction area.
Work Schedule: Monday - Friday, 7:00 am to 3:30 pm

Physical Requirements and Working Conditions: Material Handler Supervisor are often required to stand on hard surfaces for extended periods of time, and to bend, stoop, and work in tiring and sometimes uncomfortable positions. May lift and carry items that weigh up to 40 lbs. Heavier items are moved with weight handling equipment or with assistance from other workers. At this grade level, work is done inside or outside in areas that may be hot, damp, cold, drafty, or poorly lighted. Materials Handlers are regularly exposed to the possibility of cuts, scrapes, bruises, abrasion, falls, and injury from falling stock or mechanized work areas. When working in hazardous materials areas, they may be subject to exposure from radiation, toxins, explosive hazards, or chemical fumes. Work may require wearing protective clothing such as hardhats, steel toed shoes, rubber gloves, masks, and rubber aprons.
