The Administrative Support Assistant (OA) is responsible for organizing, preparing minutes, ,assigning tasks and follow-up of completion of tasks. This requires medical knowledge as the information discussed and reviewed includes medical treatment, medication, medical procedures, findings related to direct medical care and outcomes received in the community.

Duties

Major duties include, but are not limited to: Receives all incoming correspondence and routes appropriately. Generates memos, composing and editing letters, reviewing correspondence for accuracy and completeness. Maintaining inventory of office supplies and ordering supplies when appropriate. Must be a qualified typist and understand formatting requirements for any correspondence or policy used by the facility. Tracks action items. Serves as primary time keeper, attendance and leave administrator. Assists with populating databases such as Microsoft Teams, PowerBi, Excel as assigned to support data compilation and collection. Maintains confidentiality of various documents and reports. Work Schedule: Monday - Friday 8:00 AM - 4:30 PM Position Description Title/PD#: Administrative Support Assistant (OA)/PD059840 Physical Requirements: The work is primarily sedentary with long periods of sitting at a desk, working with computers daily. Some work may require walking in offices and similar areas for meetings. Work may also require walking and standing in conjunction with travel to and attendance at meetings and conferences away from the worksite. The work does not require any special physical effort.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Qualified typist able to perform word and excel processing duties; Receives and routes telephone calls & responds professionally to internal/external correspondence; Composes letters/emails requesting information or required documentation; Ability to perform research using the different software applications.; and Serve as primary timekeeping, attendance, and leave administrator for the service line. Proficiency Requirement: In addition to meeting experience requirement, applicants must be able to type 40 words per minute. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. There is no educational substitution for the GS-06 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
