This position is in located in Community Care Service at the G.V. (Sonny) Montgomery VA Medical Center. It requires the daily use of superior interpersonal skills in the engagement with numerous health care professionals, and other VA staff. Community Care is a service composed of administrative and clinical support staff required to provide timely, high quality healthcare for a diversed age range of Veterans being referred into the community for healthcare and services.
Duties
Major duties include:
Performs typing, office automation, takes meeting minutes, and/or data transcription work at or above the established minimum proficiency level.
Uses graphics software to provide charts, and graphs for view graphs or paper presentations for briefings.
Edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries.
Responsible for the viewing and the appropriate distribution and filing of confidential employee information, including grievances and disciplinary actions.
Obtains and monitors the use of services, supplies, or equipment of the office.
Serves as the department resource on current correspondence policies and procedures, arranging schedules of visits, making transportation and hotel reservations, notifying organizations and officials to be visited, submitting travel vouchers and reports.
Identifies conflicting problems, plans and competing requirements to the Chief that impact the operational schedule.
Uses judgment to return inadequately written materials to be rewritten or retyped if necessary.
Assesses incoming correspondence and utilizes judgment in assigning action(s) on suspense items and follows up to ensure that a timely response is made.
Analyzes the criticality of issues and the necessary staff involvement to manage the Chief of Community Care's time in the most efficient manner.
Provides assistance in developing statistical data and special reports, compiling and preparing drafts and finalizing technical papers and/or similar instructional materials in support of program specialties.
Greets all visitors for Office of Community Care. Determines nature of each business of visitors.
Serves as an administrator for the Community Care Service mail groups.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
Provides advice and assistance on administrative and correspondence matters to other staff members.
Provides administrative and other requested information to callers upon determination of their right to receive it.
Screens all publications, directives and periodicals, bringing items of importance to the appropriate member of the Service Chief and/or Leadership Teams' attention.
Makes final screening of all correspondence prepared for the Service Chief for signature addressing issues such as policy compliance, clarity, and completeness of reply and grammatical correctness.
Receives and reviews incoming mail for the service, engages in decision making to determine which can be handled personally, forwarding the remainder to the appropriate staff member for handling with notations, and independently following up as necessary to ensure requests for support, actions, and taskers are addressed and completed in a timely and expeditious manner.
Work Schedule: Monday - Friday, 8:00am - 4:30pm, subject to change based on the needs of the facility.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/09/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Experience utilizing electronic systems to gather, review, input, update, access, organize, process, and to maintain information for use in litigation and/or to accomplish time or case management functions; reviews and process legal documents, billing information, medical records, or administrative records for completeness and accuracy; operates word processing (MS Word), spreadsheets (MS Excel), and graphics (MS PowerPoint). Occasionally uses database (MS Access) to organize data and information for subsequent manipulation and retrieval; develops methods and procedures for office automation tasks, and identifies and solve problem in existing methods or procedures; and experience as a Timekeeper.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work. The work is performed in a typical office setting with adequate light, heat, and ventilation.
