This is an excepted service appointment under the Department of Justice Pathways Internship Program. After successful completion of the program requirements, the individual may, at agency discretion, be converted to a term or permanent appointment. An intern converted to a term appointment may be subsequently converted non-competitively into a permanent competitive service position before the term expires.

Duties

As an Office Support Trainee (Pathways Intern), you will perform clerical assignments and assist others in addressing a variety of ad hoc problems. The work assignments may involve any of the following tasks: Office Automation Support: Performs office automation (OA) duties requiring different approaches and methods from assignment to assignment. Chooses from a range of software applications, (e.g., word processing, graphics, spreadsheet, and project management), to perform OA functions. Manages electronic calendars for attorneys and other senior staff. Assists in producing a variety of reports, tracks actions, produces charts, creates specialized databases, or prepares presentation materials. Correspondence, Files, and Reports: Assists in drafting correspondence for the Section; ensures proper grammar and adherence to style requirements. Routes correspondence to the proper individual or responds directly, as assigned, and files copies in accordance with established procedures. Facility. Services, Property, and Supply Administration: Assists in the purchase of office supplies and equipment. Assists with office moves, and setting up office space for new employees, including assignment and issuance of computers, telephones, cell phones, and office furniture. Assists with arranging telephone moves and repairs, as well as repairs of fax machines, copiers, and other equipment. Human Resources Administration: Files and distributes copies of documents and forms in accordance with federal regulations, Department and Section policies. Procurement and Contracting Administration: Assists with the processing and filing of contracts, Statements of Work, purchase order requests, purchase card requests, and approval of forms. Travel Support: Assists in making travel arrangements for Section staff, including securing accommodations, providing necessary information, direction and documents to the traveling staff. Unit Reception, Telephone Support, and Notary Services: Escorts visitors and vendors to the Unit or refers to the proper individual, as appropriate; responds to telephone calls to the Unit and/or refers to the proper individual, as appropriate. Special Projects: Assists the supervisor in carrying out various special projects required in the Section. Qualifications

To be eligible for this internship position, ALL of the following requirements must be met: Academic Enrollment: You must be enrolled or accepted for enrollment in an accredited high school, technical or vocational school, two-year or four-year college or university, graduate, or professional school (go to https://ope.ed.gov/accreditation/ to verify accreditation status). Individuals who are enrolled must be taking at least a half-time academic, vocational, or technical course load leading to a degree, diploma, or certificate. "Half-time" is defined by the school in which the student is enrolled. You must be enrolled in a school within the Washington, D.C. commuting area (75 miles from DC) or be enrolled in a distance education program in order to be considered. If you are enrolled in an online degree program for a school normally located outside of Washington, D.C., please indicate this clearly in your application package. Good Academic Standing: Applicants must have at least a 2.5 GPA. Qualification Requirements: Applicants must meet the minimum qualifications for this position as outlined below. To qualify at the GS-03 grade level, applicants must have completed 1 full academic year of post-high school study; OR have 6 months of general experience to include: progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled; OR have a combination of education and experience: equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements. To qualify at the GS-04 grade level, applicants must have completed 2 full academic years of post-high school study or an associate's degree; OR have 1 year of general experience to include: progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled; OR have a combination of education and experience: equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements. To qualify at the GS-05 grade level, applicants must have completed 4 academic years of post-high school study leading to a bachelor's degree or equivalent degree; OR have 1 year of specialized experience at, or equivalent to, the GS-04 grade level to include: performing complex office automation duties requiring different approaches and methods from assignment to assignment, using word processing software, producing a variety of materials such as spreadsheets, plans, procedures, memoranda, letters, travel requests, and/or presentations from rough drafts, performing a variety of recordkeeping, reporting and information duties with regard to the unit assigned, and sorting and arranging material for filing and filing material in the proscribed manner; OR have a combination of education and experience as listed below. Please note, only education in excess of 60 undergraduate hours may be used in this calculation. Combination of Education and Experience - Your current education completed is credited as a percentage of the education required for the grade level and your current experience is credited as a percentage of the total experience required for the grade level. The two percentages are added and must equal 100% in order to qualify for the desired grade level. All academic degrees and coursework must be completed at a college or university that has obtained accreditation or pre-accreditation status from an accrediting body recognized by the U.S. Department of Education. Foreign Education: If you are using education completed in foreign colleges or universities to meet the qualification requirements, you must show that the education credentials have been evaluated by a private organization that specializes in interpretation of foreign education programs and such education has been deemed equivalent to that gained in an accredited U.S. education program; or full credit has been given for the courses at a U.S. accredited college or university.
