The Management Analyst position is located in the Department of Program Services (DPS), Probation and Pretrial Services Office (PPSO), Business Support Staff. The PPSO provides guidance and support to the probation and pretrial services offices and personnel in the judicial districts nationwide and supports the Criminal Law Committee of the Judicial Conference of the United States.
Duties
This position will report to the Chief of the Business Support Staff in the Probation and Pretrial Services Office (PPSO). The PPSO is seeking a self-motivated, professional Management Analyst to join a team that supports logistical and business operations for the PPSO. The PPSO staff are organized, and dependable people driven by a set of common goals: to serve the courts, reduce future crimes and victims, and enhance community safety. Working behind the scenes, we make a significant impact on the national pretrial and probation offices we support. The office is adept at leading and managing a variety of simultaneous projects. The Business Support Staff manages budget, financial, procurement, human resources, communications, training, analytical, logistical, and administrative activities for PPSO.
The incumbent will be at the heart of the business operations within PPSO for the logistical and business operations and the soul that keeps the office moving forward. The incumbent will assist the Business Support Staff Chief, PPSO managers, and staff members with staying focused on their projects by resolving operational and administrative issues as they arise and respond to program-related specific inquiries. The incumbent will be expected to move quickly with the changing environment, manage multiple priorities, and be committed to ongoing learning. The incumbent will be expected to also use that learning to continually develop knowledge and skills to strategically support the office's projects, programs, training events, and initiatives. In addition to being organized and analytical, the incumbent must possess the strong business judgment and communication skills needed to interact with a variety of people at all levels of the organization and job functions.
The ideal candidate should have a proven track record for producing detailed and accurate work products and must possess strong interpersonal, organizational, analytical, and communication skills. Also, the candidate must be able to work independently with minimal supervision and guidance, as well as collaboratively in a team setting.
The duties of the position include, but are not limited to:
Providing staff support that includes gathering, organizing, storing, and analyzing large volumes of information, including national probation and pretrial services policies, guidance, and recommended best practices.
Providing input that will assist PPSO management with establishing programmatic priorities that will support the overall mission of PPSO and the stakeholder and decision-making groups it supports.
Working with officials in agencies and organizations that are involved in law enforcement, including the Federal Judicial Center, United States Sentencing Commission, Department of Justice, Federal Bureau of Prisons, and United States Marshals Services.
Preparing, reviewing, updating, and maintaining a wide variety of written material designed to inform judges and Chief Probation and Pretrial Services Officers of changes to policies and recommended best practices.
Reviewing correspondence, documents, and reports, including work products of other administrative staff to ensure that final documents are accurate and acceptable per AO guidelines.
Developing, analyzing, designing, and implementing office procedures and policies for administrative processes.
Training staff on established AO, DPS, and PPSO office policies and procedures.
Leading and participating in orientations, briefings, and training programs for probation and pretrial services officers and administrators.
Preparing high-quality memorandum, reports, and articles to assist PPSO staff and senior-level judiciary staff.
Communicating effectively, both orally and in writing, with internal and external customers.
Qualifications
Applicants must have demonstrated experience as listed below. This requirement is according to the AO Classification, Compensation, and Recruitment Systems which include interpretive guidance and reference to the OPM Operating Manual for Qualification Standards for General Schedule Positions.
Specialized Experience: Applicants must have at least one full year (52 weeks) of specialized experience which is in or directly related to the line of work of this position. Specialized experience must demonstrate experience in ALL areas defined below:
Preparing high-quality memorandum, reports, and articles;
Reviewing correspondence, documents, reports, and maintaining written material; and
Developing, analyzing, designing, and implementing office procedures and policies for administrative processes.
