The Administrative Support Assistant works in for Imaging Service within the WLA Veteran's Health Affairs, and directly reports to the Administrative Officer. The incumbent works in the Office of the Chief, Imaging Service and provides primary administrative support to the Chief and Administrative Officer. The incumbent also provides support to the Chief Diagnostic Radiologic Technologist and Diagnostic Radiologic Technologist Radiology Administrator.
Duties
Oversee administrative actions for service level Ongoing Professional Practice Evaluation.
Prepares documentation for Credentialing and Privileging of full-time and part-time employees.
Processes (Identity certification, VHA account creation, PIV sponsoring, TMS validation, daily general support etc.) of all candidates within any of the programs falling within a VHA academic affiliation.
Manages and coordinate all administrative activities related to the Monthly all employee staff meeting.
Works with senior leadership and establishing an agenda, collecting articles of information that will be presented, notifying staff and establishing meeting minutes.
Creates meeting minutes that will be reviewed and approved by the Chief of Imaging Service.
Manages and coordinates the Outlook calendars for the Chief and Administrative Office of Imaging Service.
Serves as Automated Data Processing Application Coordinator (ADPAC) for the Imaging Service.
Responsible for VISTA menu and key assignment to new and current Imaging staff.
Performs administrative work, which includes management of an office's schedule or day-to-day plans.
Develops routine plans or schedules using standard references and existing information.
Works with the Chief and Administrative Officer to ensure compliance and participation in meetings.
Ensures the services has key office supplies.
Ensures accuracy of time cards for the Time Certifying Official, will become the Tim Keeper for the service.
Service level Talent Management System (TMS) coordinator.
Work Schedule: Monday thru Friday, 7:00am to 3:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/21/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: a personal computer, terminal, and office software programs to enter data, complete and correct forms; provide routine information and accomplish routine support tasks within an office setting to ensure customer satisfaction; maintain files and reviews and processes incoming and outgoing materials such as mail, correspondence, reports, memoranda, and other forms of written communication; prepares outgoing correspondence in the appropriate format; use various office applications and software such as word processing, spreadsheet, databases, presentation and email to produce a variety of documents; organize and maintain files and records, manuals, handbooks, and other materials related to the missions of the Service; excellent telephone, customer service and interpersonal skills; knowledge of mathematics and software programs to maintain budget preparations and statistics; extensive knowledge of data management to retrieve and analyze data.

Physical Requirements: Physical demands are usually moderate: Lifting objects up to 40 pounds, moving specialized equipment and assisting patients from a gurney to a procedure or scan table. Occasionally, the technician 'assists with the moving of heavy equipment or large patients but this is done with the assistance of others to minimize the danger to the individual.
