Incumbent serves as a Program Support Assistant (PSA) for the Pharmacy Service under the direct supervision of the Chief of Pharmacy. The incumbent is responsible for providing information and technical support for pharmacy administrative operations.

Duties

Program Support: Responds to requests received in writing, in person, or by telephone for a number of specialty and unclear inquiries from patients, family, caregivers and staff concerning a variety of medical, personnel, and administrative matters. Maintains ongoing dialog with service lines and staff from supporting services internal and external to the agency. Establish priorities and deadlines for independent workload, adjusting the flow and sequencing of the work to meet patient and facility timelines, while providing input in problem solving on operational issues or procedures. Incumbent is responsible for coordinating the Pharmacy Service's privileging and scope of practice procedures as mandated by the DVA policies and regulations. Is fully responsible for the retention of correspondence of a general nature on which the policy of the pharmacy program leaders has previously been stated, as well as composing replies for the signature of the pharmacy program leaders. Incumbent is responsible for knowledge of requirements mandated by but not limited to, The Joint Commission (TJC), Inspector General (IG), Drug Enforcement Agency (DEA), American Society of Health Systems Pharmacists (ASHP), American Pharmacy Association (APHA), VACO, and the Office of Quality & Patient Safety as they relate to the administrative functioning of the program. Coordinates communication between the Pharmacy Service and ASHP as it relates to the approved pharmacy residency program. Serves as a liaison with the Human Resources Department (HR) regarding all administrative personnel matters. Responsible for obtaining needed information and references of both administrative and professional/technical nature for use by professional staff, pharmacy program leaders, and for summarizing background data. Acts as a liaison between the pharmacy program leaders and staff, other services, community organizations, private industry, universities and technical schools, VISNs, CO. Responsible for orienting new staff members, trainees, and residents regarding office procedures and policies, various administrative procedures, time and attendance policies, etc. Clerical/Administrative Support: Incumbent is responsible for periodically reviewing clerical workload. Provides primary and backup coverage with respect to patient reception, scheduling, and timekeeping. Responsible for collecting, summarizing, analyzing, and reporting to the pharmacy program leaders recurring reports of policy, procedure, outcome, cost data, and controlled substance balance adjustments. Provides backup coverage for the pharmacy staff responsible for all transplant billing for all pharmacies at each division. Responsible for maintaining the Equipment Inventory List (EIL) and key inventory within the Pharmacy Service. Monitors the use of services, office supplies and enters OI&T equipment requests via SharePoint. Incumbent is fully responsible for coordinating data retrieval for pharmacy. Incumbent will be the mandatory education and training coordinator for the Pharmacy Service. Act as the liaison for necessary paperwork for records retention and destruction. Collect data, provide analysis and prepare routine reports as required by the Pharmacy Program Leaders. Prepares and reviews correspondence, graphs, logs, reports in final form, ensuring grammatical correctness. Monitors the use of services, office supplies and enters OI&T equipment requests via SharePoint. Prepares and Reviews travel requests and applicable regulations to determine entitlements. Determines acceptability of a wide variety of documents including the adequacy of identification material and authenticity of signatures. Primary contact for managing the schedule to outside Pharmaceutical vendors. Subject Matter Expert (SME) with respect to the Office Equipment within the entire Pharmacy Department. Serves as the primary timekeeper for the Pharmacy. Performs other related duties as assigned Work Schedule: Monday - Friday, 7:00am - 3:30pm, 7:30am - 4:00pm, or 8:00am - 4:30pm. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Triages incoming phone calls and gathers all pertinent information, communicates as appropriate for intervention. Assists Executive Assistant to the COS, Deputy Chiefs of Staff, designated Service Line supervisors with organizing events to include scheduling, sending invites and completing appropriate supply requests for event(s) and meetings. Coordinates trainee on-boarding and communication with ASHP and schools of pharmacy. Obtains references and assists with on-boarding of new pharmacy staff members. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is largely sedentary. Typically, the employee may sit comfortably to do the work however also involves walking, standing, bending, stooping, and carrying of light items such as bulk office supplies, paper, or books.
