This position is established to provide administrative support to the Home Based Primary Care Program under the Associate Chief of Staff - Non-Institutionalized Care, Boise VA Medical Center, Boise, ID. The incumbent's primary duties are to relieve professional staff of clerical and administrative duties, to enable them to devote the major part of their time to clinical and patient focused activities.

Duties

Major Duties: Reviews, analyzes and evaluates the accomplishments of various office administrative functions, such as records management, reports control, form control and administrative standard operating procedures. Drafting correspondence, tracking equipment, maintaining records, and ordering supplies. Advises personnel on proper maintenance and control of records. Periodically surveys records maintained throughout the assigned sections for compliance with established regulations and procedures, noting deficiencies, and inadequate filing. Initiates action to correct deficiencies e.g., improperly identified records and implements instructions for destruction and/or transfer of records. Responsible for archiving and shipping of organization records. Acts as a liaison and maintains communications with persons and/or groups within and outside of the section or office. Acts as a department ambassador. Schedules appointments and keeps accurate calendars for section chiefs and section events. Coordinates confidential personnel actions including maintaining personnel files, preparing annual review forms and distributing them to supervisors, organizing personnel files to assure required information is available for accrediting agencies. Responsible for time and attendance reporting, prepares time and attendance reports for all PLMS personnel. Processes, edits and formats materials such as correspondence, reports, memoranda, and other forms of written communication including the following: edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, and develops standard or form letters, and replies to inquiries. Researches, prepares and formats presentations and other documents as requested. Serves as the first line of contact for computer/printer problem resolution training. As well as a liaison between the service and OIT when more assistance is needed. Responsible for providing administrative support for all HBPC staff. Prepare travel authorizations and vouchers. Track supply and equipment orders. Utilize purchase card. Acts as the Fund Control Point Clerk. Performs other related duties as assigned. Work Schedule: Monday - Friday, 8:00 am - 4:30 pm Position Description Title/PD#: Administrative Support Assistant/PD602720 Virtual: This is not a virtual position. Telework: This is not eligible for telework. Financial Disclosure Report: Not required Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of items such as papers, books, small parts; or driving an automobile, etc. At times, the position requires carrying supplies and equipment not to exceed 50 pounds. The incumbent is required to maintain a valid driver's license.

To qualify for this position, applicants must meet all requirements within 30 days of the closing date of this announcement, 10/28/2023. Selective Placement Factor: Current, Valid state-issued driver's license Qualifying Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Develop and maintain policies; coordinate meetings and schedules, calendar and record maintenance; monitor the use of service vehicles; obtain office supplies and services; uses VISTA, Excel, Microsoft Word, and other Microsoft programs for reporting and presentations; prepare and submit requests for reimbursement. Note: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
