The Administrative Support Assistant position is located in the Environmental Management Service (EMS) in the VA Eastern Colorado Health Care System (ECHCS). The paramount function of this position is to provide administrative support to the Chief and Service Program manager regarding all administrative functions of EMS. Serves as a recourse for a variety of requests for information and assistance in supporting EMS staff.
Duties
Major Duties include, but are not limited to:
Develops methods for automating reports using a variety of software packages.
Applies judgement in selecting the most appropriate software or program type.
Modifies existing tracking systems to correct problems.
Establishes a database management system to improve tracking methods.
Analyzes statistical and demographic data to support program development.
Selects and sends forward for approval, methods for automating various administrative reports containing data having multiple uses for other reports, such as budget, purchase orders, government purchase card, travel, and workload.
Provides training in various VA programs, such as Talent Management Systems (TMS), Veterans Information Systems and Technology Architecture (VistA), and timekeeping methodologies.
Maintains Service's organizational chart and position description list (PDL) in format required by Human Resources and Fiscal.
Assists the Administrative Officer and various program Supervisors in identifying and resolving a wide variety of employee needs.
Provides EMS orientation for new staff.
Requests and issues keys, wireless devices, and remote access, as per needed.
Serves as the administrative liaison between ECHCS Executive leadership, Human Resources, Fiscal, Nursing, local Union leadership, as well as Environmental Management Service staff.
Responds to a variety of issues and helps to resolve non-clinical issues.
Makes recommendations and provides input as needed on administrative issues.
Screens all calls and visitors.
Serves as the Service's Patient Advocate and is able to talk to a variety of people from all backgrounds with ease.
Utilizes tact and diplomacy to elicit the purpose and nature of the contact and to make decisions on how to facilitate the best possible resolution for a variety of issues.
Acts independently in creating informational emails and flyers regarding high priority issues, such as Personal Identification Verification (PIV) Card process, Timekeeping, and training requirements.
Coordinates Service's monthly staff meetings, including scheduling guest speakers, preparing and sending out an overview of the Staff Meeting topics and discussion by email.
Performs other related duties as assigned.
Work Schedule: Monday thru Friday, 7:30am to 4:00pm, or as approved by supervisor.
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Pending 90-day evaluation and approval by Supervisor, this position may be eligible for a # days per pay period for telework.

Physical Requirements: Work is mostly of a sedentary nature. However, there is some walking, standing, bending, and carrying of light items such as papers, books, and some equipment.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
GS-07 grade level: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Performing clerical, administrative and technical program support work for the service; performing timekeeping duties for the service; communicating effectively both verbally and in writing with individuals from a variety of backgrounds; handling conflict and problems in dealing with customers, with tact and diplomacy; typing a variety of documents into final form, ensuring correct format; utilizing a computer and applications to extract pertinent data and preparing a variety of reports; utilizing a range of software applications (i.e., word processing, spreadsheet, electronic mail, etc.) to prepare correspondence; planning, organizing, and establishing priorities while meeting time constraints; modifying existing tracking systems to correct problems and establishing a database management system to improve tracking methods; scheduling meetings for service leadership; submitting travel requests; working both independently and as a member of a team, including assisting with training and orientation for new staff. Education
There is no educational substitution for the GS-07 level.
