About the Position: Serves as a Medical Support Assistant (Office Automation) performing full range of receptionist, recordkeeping, and miscellaneous clerical duties. Located at Brooke Army Medical Center, Joint Base San Antonio.

Duties
The incumbent performs the full range of receptionist, recordkeeping, and miscellaneous clerical duties within the ambulatory/in-patient setting.
Responsible for the clerical duties inherent to the in processing (reception), care, and out processing (transition) of outpatients, families/caregivers and guests.
Notifies appropriate staff of the patient's arrival.
Enters, manipulates, and/or retrieves information and data from automated systems, such as, MHS Genesis, etc.
Completes request forms, manually or automated, for individual patient orders, blood work, and other requests.
Maintains and monitors patient appointment schedules for the clinic/practice.
Records and relays messages and/or redirect calls.
Refers urgent messages and patient results for immediate actions.
Obtains identifying information and determines the nature of the visit/call.
Ensures eligibility for care, and contacts Patient Administration for verification.
Maintains all patients' records, both electronic and paper, according to regulation ensuring each entry contains proper patient and health care provider identification.
Ensures the patient completes all necessary forms prior to being seen by the provider.
Performs Quality Assurance monitoring, using appropriate tools regarding the completion and contents of the patients’ record.
Reconciles end-of-shift/end-of-day processing and reports.
Types routine correspondence, progress reports, medical statements, memoranda, and statistical reports using various automation systems and programs.
Responds to emergency calls and notifies emergency medical personnel.
Follows clinic/practice communication procedures, which may include operating emergency phone lines, public announcements systems and emergency alarms.
Requirements
- Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
- This position has a mandatory seasonal influenza vaccination requirement and is subject to annual vaccination.
- Employees assigned to a medical treatment facility are required to be screened for applicable immunizations or pre-existing immunity based on occupational risk, regardless of job series.
- Physical exam required.
- Required to obtain and maintain a certification in community basic life support (CPR).
- This is an inclement weather essential position and incumbent is expected to make every attempt to report for duty on time and remain on duty during severe weather conditions.
- Maybe required to work weekends, on call duties and evenings.
- This position requires occasional travel up to 5% of the time.
- A fully qualified typist is required.

Qualifications

In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Specialized Experience: One year of specialized experience which includes receptionist support in a medical clinic, interview patients who request initial treatment or unscheduled examinations, obtain information regarding the type of medical services needed and how patient is qualified to receive the requested examination, determine eligibility for treatment, perform additional receptionist tasks such as typing, record-keeping, meeting minutes, answer phone calls and direct to appropriate department or staff member, forward properly formatted and assembled forms, letters, and other correspondence as needed, update patient information into patient data automated systems such as MHS Genesis as well as scan results of examinations/test into the patient data system. Utilize the patient data using automated systems such MHS Genesis to compile data on the number of patients treated on the unit for monthly workload recording, and/or establish office files, codes, files materials and retrieves information as requested by supervisor or other Clinic personnel. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04).

Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.
OR
Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages.
Proficiency Required: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors.
Education
FOREIGN EDUCATION: If you are using education completed in foreign colleges or universities to meet the qualification requirements, you must show the education credentials have been evaluated by a private organization that specializes in interpretation of foreign education programs and such education has been deemed equivalent to that gained in an accredited U.S. education program; or full credit has been given for the courses at a U.S. accredited college or university.
