The Primary Purpose of the Position is to perform clerical and assistant support work to ensure program compliance for Veterans in the Medical Foster Home (MFH) and Social Work Home Based Primary Care (HBPC) Programs. The position requires the incumbent to be highly organized, be patient centered, function well and manage time while supporting expanding programs.
Duties
The position performs administrative and program analysis work and ensure program compliance for Veterans in the Medical Foster Home (MFH) Program. MFH is a specialized program which provides interdisciplinary health care to veterans who are unable to live independently, but prefer a home like setting for their long-term care. Position duties include (but are not limited to) the following:
Responsible for providing data/reports related to administrative, clinical and technical aspects of the program to supervisors needing data for various VHA, VISN, or medical center reports including monthly transmissions of work load and census reports for all involved programs.
Maintains program records and all policies/procedures manuals to meet Joint Commission and VHA standards.
Assist the MFH Coordinator in all facets of the program and oversees the program office in his or her absence.
Answer telephone inquiries and communicate with program coordinator and interdisciplinary team.
Order and maintain supplies and marketing materials.
Conduct data collection, prepares briefing notes, creates a variety of media presentations on a personal computer to complement these presentations.
Schedules appointments, coordinates meetings, and/or schedules conferences and teleconference.
Provide general clerical services such as maintaining calendars and recording appointments.
Assisting in coordinating the placement of Veterans. Interacts personally with Veterans and other beneficiaries, in person or telephone.
The PSA facilitates the MFH Caregiver Application process.
Prepares and produces a wide range of documents, recurring and non-recurring reports, correspondence, and other documents that often require complex formats/formulas, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets.
Work Schedule: 8:00 a.m. - 4:40 p.m. Alternative work hours available.
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing administrative support, problem resolution in the areas of making patient appointments, ordering supplies, patient travel, files management, correspondence preparation, time and attendance, office automation, obtaining statistical data from published reports and manipulating data to produce tables and charts for program management and administrative use. Proficient in Microsoft Office products, (Word, PowerPoint, Excel, etc.). OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years of education beyond high school level. (TRANSCRIPT REQUIRED) . OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education beyond high school. (TRANSCRIPT REQUIRED).

Physical Requirements: The work is performed at a desk using a computer keyboard in a typical office setting. The work requires walking, standing, bending, carrying books, preparation for events, files and assisting guests with luggage; and, occasional carrying, moving, lifting equipment, boxes and other items weighing up to 40 pounds between various offices and clinics within the medical center and various other buildings.
