The incumbent provides administrative support to the VHA Clinical Resource Hub (CRH) under the supervision of the VISN 20 CRH Training Supervisor within Operations. The primary duties are to provide direct support to the CRH operations leadership team with a focus on education and training areas and professional staff by performing clerical duties to enable the managerial team and providers to devote the major part of their time to programmatic management and patient focused activities.
Duties
Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of an organizations program operation.
Assists with various administrative functions for the office. This may include interpreting administrative policies; defining administrative requirements and/or providing technical advice and guidance to upper and lower level management within the VISN and its facilities.
Independently generates and reviews all documents, reports, and/or applications for accuracies, completion, omissions, and inconsistencies and ensures conformance with established formats and grammatical accuracy.
Responsible for the automated system of program-specific data to track suspense's on items such as project milestones, progress reports, funding accomplishments, compliance strategies, etc.
Develops and maintains a spreadsheet tracking system for proficiencies and board actions, following each step of the process with reminders to key individuals.
Serves as an assistant timekeeper for all CRH staff ensuring accuracy and timely submission of all timecards and corrected timecards that are entered and processed by the timekeeping staff.
Works with the supervisor in the assignment of functions to team members in order to meet routine and unusual deadlines and priorities.
Required to attend and main appropriate training to become the contracting officer of record for micro-purchases made with the government purchase card and complying with all Federal, VA, and local acquisition policies and regulations.
Monitors and controls the use of services, vehicles, supplies, and equipment for the programs.
As part of quality assurance, reviews records for completeness. Identifies problems or potential problems. Facilitates process analysis to alleviate problems.
Provides general clerical/administrative support coordination work for the unit. Manages administrative functions for the office. Receives all telephone calls and visitors to the clinic. Coordinates scheduling with scheduling clerk. Establishes office files and records systems.
Performs other related duties as assigned.

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of items such as papers, books, small parts; or driving an automobile, etc. At times, the position requires carrying supplies and equipment not to exceed 50 pounds. The incumbent is required to maintain a valid driver's license.
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet specialized experience within 30 days of the closing date of this announcement, 10/18/2023.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: thorough working knowledge of computer systems to create necessary spreadsheets; Use of MS Office (Word, Outlook, Excel, etc.); collect, compile, and track data to generate reports; knowledge of medical terminology; interpret a variety of health data; scheduling; develop and maintain operations of clinic database systems (Vista, CPRA, Cerner); routing correspondence to appropriate departments or customers. NOTE: Experience must be fully documented on your resume and must include job title, duties, month & year starting and ending dates AND hours worked per week.
Please note: In addition to meeting experience requirements, applicants for this position must show possession of the following proficiency: ability to type 40 words per minute. Applicants may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years.
Preferred Experience: It is preferred that the applicant has strong organization and typing skills with the ability to utilize Microsoft Office software tools including Word, OneNote, Excel, PowerPoint, and Teams. Detail oriented. Experience as office lead, office assistant, or primary support to an executive, office manager, or section director is preferred.
