This position is located in the Chief of Staff Service, Boise VA Medical Center, Boise, ID. This position provides support to the Medical Foster Home (MFH) program. The incumbent participates actively in the management in the management of the MFH office by performing routine administrative and miscellaneous clerical work.
Duties
Major duties include but is not limited to:
Acts as a liaison between patients and medical center staff, serving as a consumer advocate
Accepts telephone calls from patients/caregivers, MFH staff in the field, other VA staff, and/or community agency staff, regarding program inquires, patient care concerns, etc.
Ensures timely clinical response to patients/callers that potentially have an emergent or urgent care need through identification of the problem and appropriate clinical referral.
Interacts with customers, family members, visitors and co-workers in a courteous, tactful, helpful manner, exercising mature judgement and diplomacy
Corrects errors in team data entries of workload encounters
Performs work involving the collection, compilation and or tracking of data and statistical information in support of program operations
Develops and establishes protocols for incoming data, organizes complex computerized data sets and retrieves computerized data
Performs comprehensive analysis of the data and generates a variety of reports
Develops and maintains Patient Census List with patient information such as admission and discharge information, recertification periods, acuity and scheduling
Composes correspondence as indicated to assist with clinical functions of the MFH staff
Composes reports and meeting minutes
Processing incoming and outgoing materials such as correspondence, reports of information, reports, memoranda, and other forms of written communication
Responsible for a filing system
Performs the following types of duties such as edits letters, composes letters and reports, reviews correspondence for accuracy and completeness and develops standard or form letters and replies to inquiries
Serves as recording secretary for staff and team meetings and other program meetings with responsibility for distribution of minutes
Coordinates consultation, referrals, scheduling and cancelling of appointments for patients requiring specialty services and diagnostic procedures
Coordinates outpatient scheduling and cancelling of all appointments for designated staff as requested by team members
Responsible for arrangements for meeting space and support arrangements for meetings/conferences
Responsible for the monitoring and controls for the use of services, vehicles, supplies and equipment for the program
Responsible for accounting and maintenance for vehicles used in the program to include logging and monitoring monthly mileage/usage, coordinating and scheduling use of vehicles and reporting and coordinating with appropriate services needed for maintenance and monthly reports
Obtains hard copy patient records from VA Health Information Management Section or from private sector as requested by staff
Assists staff in obtaining laboratory, radiology, CT scans and other reports
Copies referrals and pertinent patient health information and distributes to staff members
Provides clerical support to MFH Program Coordinator in carrying out administrative duties.
Performs other related duties as assigned
Work Schedule: Monday - Friday, 9:00 am to 1:00 pm

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may some walking, standing, bending, carrying of light items (medical records, computing devices, manuals, papers, books, small parts) or driving and automobile. The work requires manual dexterity for computer data entry, office machine operation and filing. However, in genera the work does not require unusual physical demands. The work does require emotional stability to resolve the crisis situations.

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Education
There is no educational substitution for the GS-06 level.
