Duties

The incumbent serves as an Advanced Medical Support Assistant (AMSA) in the Imaging Division at the Portland VA Medical Center. The incumbent performs duties related to support of services in the Imaging Services including all administrative medical support assistant roles. Medical Assistant Support roles include patient receipt, patient care coordination and coordination of receiving, sending and coordination of film library activities. The incumbent may provide input for the interdisciplinary team and will learn how to provide support to all care providers across the service. General clerical work is in support of the care and treatment given to patients such as obtaining appointment lists from the medical record system, confirming patients' knowledge of upcoming appointments to reduce or prevent the incidence of no -shows. The Imaging Services Advanced Medical Support Assistant will be assigned to 3 areas of the department to include reception, scheduling and film library and will rotated through each of them as assigned.
1. Serves as a primary customer service person for Imaging Service. Greets all veterans presenting for appointments for various types of imaging services.
2. Generates proper x-ray request for each patient, ensuring that data on the request is complete and accurate. Makes modifications when appropriate.
3. Works collaboratively with Escort personnel to ensure timely arrival and return of patients to their originating source.
4. Responsible for all incoming calls to the reception/scheduling desk. Routes calls appropriately to ensure timely service associated with requests for portable x-rays, emergent x-ray needs, and remote x-ray technologist support. Refers calls for other needs as appropriate to the situation.
5. Works effectively as an essential team member with technologists and physicians to ensure timely service to waiting patients and proper notification of patient needs. This entails coordination of workload in many cases for subspecialty imaging modalities.
6. Assists technologists in scheduling all exams as needed.
7. Manages and maintains the equipment and other tools required in the work area to ensure the smooth and efficient functioning of the reception/scheduling area.
8. Is expected to appropriately respond to any unique needs of the patients relating to either their age or their condition.
9. Act as preceptor to new MSA hires in the area by answering questions, demonstrating best practices, and spot-checking work to ensure highest quality of output.
10. Answer and triage contacts via phone calls, emails, mail, secure messaging or other means from internal and external customers. Interacts positively with all customers.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j
Specialized Experience: one year of specialized experience in an advanced or complex clinical setting utilizing numerous advanced patient care systems, scheduling appointments across multiple clinics and coordination of services among a diverse team of medical providers and clinics to include outside agencies, advanced knowledge of medical terminology, advanced knowledge of the technical health care processes, policy and procedures as it relates to coordination of care.
Candidates must demonstrate the KSAs below:
1. Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
2. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
3. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.
4. Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care.
5. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
6. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.

Physical Requirements: The work is mostly sedentary but may require periods of standing and walking however there are not any physical requirements for the 0679 series.
