Duties
As a EXECUTIVE SUPPORT SPECIALIST at the GS-0301-11 some of your typical work assignments may include:
As a member of the On-site Inspection and Building Capacity Directorate (OB) you will plan, develop, and execute a variety of administrative actions at the Division and/or Department level. Manages the daily activities of the Chief, Interagency Liaison and Treaty Support Department (IS) and Chief, Arms Control Program Integration Division (ISP) or the Integration and Initiatives Department (IN) front office staff to ensure that office activities are executed smoothly and efficiently. Provides administrative advice and oversight to all IS/IN subordinate Division and Department civilian and military personnel, as required, ensuring that administrative practices of subordinate personnel are consistent with those of the Office of the Director.
Maintains the Department leadership's (IS or IN) and Division Chiefs' (IS-ISP) calendars, scheduling appointments and conferences without prior clearance, making changes as necessary and keeping the Director and staff up-to-date on all changes. Coordinates, as required, the Chiefs' schedules, efforts, and events with the Department of State, Office of the Secretary of Defense (OSD) Acquisition and Sustainment (A&S), OSD Policy (P), Joint Staff, Defense Security Cooperation Agency (DSCA), other high-level interagency government personnel, and associated Defense Threat Reduction (DTRA) Key Leaders. Ensures the availability of necessary reference materials for guidance on matters to be discussed, such as directives, policy decision, reports, technical, and legislative material, and other backup materials as required to facilitate decision making.
Performance of a wide variety of analytical and technical administrative functions. Creates, modifies and analyzes, as required, OB-IS/IN Department administrative operation and processes in order to ensure all actions, procedures, correspondence, and instructions are effective and coherent. Develops and implements administrative guidance for Department operations, as required, and provides administrative oversight of daily activities.
Receives calls and visitors to the Department leadership. Ascertains identity and purpose of callers and determines whether the matter warrants the Department Chief's immediate attention, referring only those of sufficient importance and urgency. Directs incoming calls referencing organization and events, studies, suspense items, correspondence, etc., to appropriate Department or Division personnel. Manages independently the Department leadership's travel requirements via the Defense Travel System (DTS), initiating requests for, submitting, and monitoring orders, passports and visas, and maintain the annual TDY budget for the Department Staff through the DTS system ensuring funds are available for travel when needed.
Establishes and maintains a current and accurate consolidated leave/TDY schedule for the Department leadership. Keeps staff informed of actions taken by the Chief, which affect their functional areas. Undertake special assignments, such as preparing letters of recommendation, responses to formal inquires, etc.; must therefore have the confidence of the Chief. Must also be intimately familiar with established DTRA administrative policies and procedures and applicable security requirements.
Serve as the Department's primary Web Content Manager, ensuring that both the unclassified and classified DTRA One SharePoint websites contain current and accurate information about the Department's structure, operations, and activities.
Serve as the Department's primary, and OB Directorate's alternate Security Manager, utilizing DOD and DTRA security policies and procedures to ensure Department and Directorate personnel are appropriately safeguarding sensitive and classified information.
Performs other duties as assigned.

Qualifications
You may qualify at the GS-11 grade level, if you fulfill the following qualifications:
A. One year of specialized experience equivalent to the GS-09 grade level in the Federal service:
Serving as an office manager and personal assistant overseeing administrative support operations, performing a wide variety of analytical and technical administrative functions; and
Analyzing, conducting, researching, and consolidating information and making recommendations; and
Managing a travel system program and automated timekeeping procedures;
Performing duties of a security manager and web content manager. OR
B. Have a Ph.D. or equivalent doctoral degree, 3 full years of progressively higher-level graduate education leading to such a degree, or LL.M., if related. OR
C. You have some specialized experience as described in A, but less than one year; and you have more than one year but less than two years of education as described in B. You have computed the percentage of the requirements that you meet, and the total is at least 100%. (To compute the percentage, divide your total months of qualifying experience by 12. Then divide your semester hours of graduate education beyond the first year by 18. Add the two percentages. The total percentage must equal at least 100 percent to qualify.)
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

GRADUATE EDUCATION: One academic year of graduate education is considered to be the number of credits hours that your graduate school has determined to represent one academic year of full-time study. If you cannot obtain your graduate school's definition of one year of graduate study, 18 semester hours (or 27 quarter hours) should be considered as satisfying the requirement for one year of full-time graduate study.
