Incumbent is Secretary to the Chief of the Nuclear Medicine Service of the Atlanta Veterans Affairs Healthcare System. Provides the Service Chief clerical, secretarial, and procedural support. The Secretary also provides similar support to other Service personnel, as determined by the Chief. As Secretary to the Chief, the incumbent interacts with patients, caretakers, VISN, National VA Leadership, clinical/administrative personnel of other Services, affiliate institutions, and other VA systems.
Duties
Duties of the Secretary include scheduling appointments for the Chief; maintaining a roster of those appointments; and coordinating lectures, conferences, boards, and other related clinical and administrative meetings. Other duties include, but are not limited
Schedule and review work activities performed in an office, including reporting and record keeping.
Review and direct incoming documentation/inquiries and take personal action when applicable or direct to appropriate staff as needed.
Maintain files and reports.
Maintain office compliance regarding regulations, policies, and guidelines as established.
Enter all reports within an expedient time frame.
Maintain calendar for manager, i.e. scheduling appointments.
Serve as Service Timekeeper
Maintain employee records.
Prepare travel arrangements for staff.
Perform transcription from dictation cassette tapes or handwritten forms.
Receive incoming calls from patients, clients, staff, and others in need of information.
Execute and prepare responses to routine correspondence and reports.
Take meeting minutes.
Perform office automation work on personal computer utilizing multiple programs to complete documentation.
Utilize a range of office equipment (i.e., copier, fax, telephone, etc.).
Maintain tracking mechanism for reports and action items.
Utilize a range of software applications (i.e., Word, Excel, Outlook, etc.) to prepare correspondence, documents and reports.
Work Schedule: 8:00 AM - 4:30 PM, Monday - Frida

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/12/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization.
Examples of specialized experience would typically include, but are not limited to:
Managing calendar(s), scheduling appointments, meetings and conferences for Service/Department/Team Leadership, Assisting with timekeeping functions and maintenance of leave records; experience with requisition and/or acquisition of supplies; generating, editing, or reviewing correspondence, including letters, and reports; organizing and maintaining paper documents and electronic files, and serving as customer service representative/liaison or point of contact for phone, video, and/or in-person interactions. Qualified typist.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
