This position is located in the Primary Care Service located at Mann-Grandstaff VA Medical Center. This position will also support the Wenatchee Community Based Outreach Clinic as well as the Coeur d'Alene Community Based Outreach Clinic. The incumbent is assigned to the Administrative Officer in Primary Care and serves as a Medical Data Clerk, providing administrative and clerical support to the medical centers Patient Centered Management Module (PCMM) Coordinator.
Duties
Use Cerner Electronic Health Record System, VISTA system, VHA Support Service Center (VSSC) to provide administrative and clerical service-level support, to develop reports, spreadsheets, to track data, to track the New Enrollee Appointment Requests, and provide exceptional customer service to Veterans.
Work in compliance with HIPPA and process sensitive or confidential information appropriately.
Answer phone calls when related to Veterans who are new to the VA and are requesting assignment.
Participate in mandatory education classes, observes fire and safety regulations, and prevents accidents by using preventive techniques.
Manage and develop spreadsheets for tracking purposes for PCMM Coordinator ensure valid and current data.
Serve as assistant timekeeper for members of the team and is responsible for ensuring accuracy and timely submissions of all timecards and corrected timecards that are entered and processed.
Ensures proficiency, TMS, competencies, and criteria-based function statement and/or scope of practices.
Analyzes, determines, and develops internal controls and methods of complex procedures and functions of work process and assures timely submissions (if applicable) to leadership.
Monitors and reports on the status and progress of work, checking on work in progress and reviewing completed work to see that the supervisor's instructions on work priorities, methods, deadlines and quality have been met.
Provides general clerical/administrative support coordination work for PCMM Coordinator. Assist with various administrative functions for the office. - Develops and maintains appropriate policies using a comprehensive knowledge of VA, State, local, federal regulations and other accrediting agencies (The Joint Commission), that dictate program operations.
pull the New Enrollee Appointment Request and contact Veterans from the list, call the Veteran to discuss options (i.e. drive time eligible or assignment to Mann-Grandstaff PACT Teams or CBOCs), and get Veterans assigned as appropriate.
Assists PCMM coordinator in processing Primary Care referrals for Care in the Community in Cerner Millennium to include continuation of care referrals.
As part of quality assurance, review records for completeness. Identifies problems or potential problems. Facilitates process analysis to alleviate problems.
Develops and performs work related to the acquisition and/or development of program information such as policies, SOPs and resource materials/personnel to support the policy development and/or technical activities of the organization to include the development and publication of the program information hand out.
Has regular contact with the facility to work out any process issues, equipment needs problems, data collection, and any other logistical issues.
Work with supervisor in order to serve as PCMM contact to PACT teamlet members in order to meet routine deadlines. Checks work in progress or spot checks work not requiring review to ensure that new Veterans are scheduled within the time limits set by PCMM policies and procedures
Uses advanced functions of numerous software products/capability to input, process, and sort data. The incumbent will work closely with the PCMM coordinator regarding administrative procedures related to PCMM operations as well as work closely with the Medical Support Assistant in all Primary Care settings serving as a PCMM resource person. In addition, the incumbent is a resource to clinical staff and will ensure all duties are completed regarding PCMM implementation and utilization.
Work Schedule: 7:30AM to 4:00PM

TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

EXPERIENCE: One (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties of a Program Support Assistant at the developmental level, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-4) in the Federal service. Specialized experience is experience where you were responsible for providing clerical, technical, or customer support; receiving and referring phone calls; communicating and treating customers in a courteous, tactful and respectful manner while providing consistent information according to established policies and procedures; and using computer programs to prepare documents. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. ~OR~
EDUCATION: Successfully completed four (4) years of education above the high school level in any field which high school graduation or the equivalent is the normal prerequisite. Physical Requirements: The work area is usually an adequately lighted, heated and ventilated office of medical facility setting. The work environment involves everyday risks or discomforts that require normal safety precautions. The sedentary and may require some walking, standing, bending, carrying and/or lifting of light items like papers or books. The work requires light to moderate levels/times performing keyboarding to prepare correspondence
