The incumbent primary duty is to relieve the Chiefs, Admitting/Emergency Service at the New York Campus and Ambulatory Care at the Brooklyn Campus, from as many routine administration details as possible so that he/she can concentrate on professional and teachings duties.

Duties

Acts as a liaison between the Chiefs and the other services which function in the Admitting/Emergency or Ambulatory Care areas (i.e., MCCF/lntake Unit, Patient Services, Psychiatry, Pre-Bed Care (PBC), Pharmacy) as well as the other major services, and the Offices of the Executive and/or Deputies, Chief of Staff. Reviews all mail addressed to the service. Determines to whom the mail should be referred. Screens all correspondence for the Chiefs, AES or Ambulatory Care and the AO. Provides background correspondence where appropriate. Prepares replies to some correspondence on own initiative, for the signature of the Chief or the AO. Reviews all correspondence received from other sections for content, grammar, format and accuracy of subject matter. Is responsible for tracking all official correspondence, recording suspense dates and insuring a timely response. He/she handles confidential as well as general correspondence. Functions as transfer coordinator. Responsible for receiving initial contacts from families and other hospitals that wish to transfer patients to the NYHHS. Prepares report of contact, ascertaining preliminary information needed by the Chief to finalize the transfer. Determines eligibility for care in collaboration with Intake Unit and HAS staff and availability of requested healthcare resources, communicating this information to families and referring facilities. Acts as a liaison between the Chief and the other services involved with the transfer process, families, and referring physicians and social workers. Coordinates transfer of accepted patients including aspects related to transportation and transfer of medical information. Functions as Coordinator for the MOD program, working closely with the C&P Office during the credentialing process. Serves as a contact to the MODs regarding problems and questions. Orients new MOD staff to their position and obtains all needed work tools such as VA provider number, DHCPNISTA access, electronic signature codes, etc. Maintains the MOD logbook of hours worked and prepares monthly schedules for coverage during WHEN hours, anticipating heavy patient loads and other problems, which may require additional coverage. Serves as Fund Control Point Clerk, maintaining accurate bookkeeping and ensuring proper payment for Fee Basis services. Oversees all fiscal aspects of the MOD program including budget submissions and distribution of time and leave statements, W-4s, etc. Investigates and resolves with Payroll all pay discrepancies. Updates and maintains MOD roster for periodic mailings, distribution to ER staff and verification of demographic information as requested by Fiscal Service. Responsible for initiating all requests for initial appointments of professional staff and for preparation of all reappointment packages for clinical privileges. Prepares all personnel actions affecting the professional and administrative staff. Functions as AES/Ambulatory Care liaison with Medical Staff Affairs for all issues relating to the Credentialing & Privileging of staff physicians and MODs. Provides clerical support to the Emergency Medicine Residency Program Coordinator and serves as liaison with Bellevue/Downstate staff in administrative matters. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/19/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS in the normal line of progression for the occupation in the organization. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have One full year of graduate education meets the requirements for GS-7. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary in nature. There is a need to carry items such as files, manuals, medical charts and some medical equipment such as blood pressure machines, pulse oximeters, etc. However, frequent walking is required in meeting with patients and other employees, in obtaining supplies and equipment and in visiting other Services in the facility. Occasional heavy lifting of office and medical supplies and travel to outside facilities may be required.
