This position is located at the White River Junction VA Healthcare Center. Program Support Assistants (PSA) independently manage the administrative functions of the Service Line. This position is full-time at 40 hours per week.
NOTE: For the position at the Burlington CBOC location, Primary Care is the only service option.
Duties
The Program Support Assistant independently manages the administrative functions of staff and programs, coordinates care with VA patients and non-VA facilities.
Additional duties include, but are not limited to:
Gathers, tracks, analyzes and maintains data and statistics regarding patient encounters, number of patients seen, no-show/missed opportunity rates, appointment wait times, and workload data.
Coordinates patient appointments, and other studies and procedures.
Manages assignment of clinic space, determines exam room availability for added or changed clinics, and analyzes work flow to assure maximum space for patient care.
Ensures consults are properly scheduled according to pre-determined criteria set forth by clinicians in a timely manner to meet mandated VA guidelines.
Cancels clinics and determines urgency in rescheduling appointments.
Provides training and assistance to staff if needed to optimize scheduling and care of patients.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication, edits letters, reviews correspondence for accuracy and completeness,
Prepares a wide variety of recurring internal reports and documents from information obtained from available files such as time and attendance, overtime, travel reports, tuition, and budgetary reports.
Arranges meetings and conferences, and takes and distributes minutes.
Acts as timekeeper for the Service posting timecards daily and submitting timecards in a timely manner.
Performs additional duties as assigned by leadership.
Work Schedule: Monday - Friday, 8:00 am - 4:30 pm

Selectee may be required to work at any VA White River Junction Healthcare System campus, as needed.
The incumbent may be required to travel to other VA campuses and CBOC's.

Specialized Experience: You must have one (1) year of specialized experience equivalent to at least the next lower grade GS 5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing timely, accurate, and complete responses to customer inquiries using a variety of communication methods, providing daily oversight and management of a clinical scheduling system at a facility wide level, working with internal and external customers to obtain critical information related to clinical operations, navigating a multitude of systems and databases to monitor processes and ensure efficiency and timeliness of tasks, and providing high-level administrative support in a clinical setting, including employment and credentialing requirements. Processing incoming and outgoing materials such as correspondence, reports, memoranda and other forms of written communication; Coordinating meetings and taking minutes for distribution; Making travel and lodging reservations; Ordering and monitoring the use of office supplies; Timekeeping. (NOTE: The specialized experience must be well-documented on your resume, and an ADDITIONAL SF-50 must be provided that shows one year of Time-In-Grade at the GS-5 level)

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work, however, there may be some walking, standing, bending, carrying of light items such as papers, books, etc. No special physical demands are required to perform the work
