This position is organizationally aligned in Anesthesiology Service which is under the Chief of Staff. This position provides administrative and operational support for the Anesthesia's pre-operating clinic allowing for multi-departmental organization.

Duties

Duties include, but not limited to: Provides administrative support person for facilitating and troubleshooting patient and administrative issues related to the scheduling completion processes throughout the medical center and supports administrative issues and processes on clinic utilization and access to care. Identifies resource-effective benchmarks, processes for streamlining operations and increasing efficiency. Uses guiding processes, principles and policies for the development and implementation of patient and family centric check in programs at the facility level. Provides primary support work by monitoring training projects, tracking and pulling reports for the entire service to include Moderate Sedation and AMMI (Morbidity/Mortality) cases. Reviews and monitors the scheduling process to ensure that VAMC resources are efficiently utilized through a knowledge of patient scheduling during trainings, medical terminology, and primary and specialty care services within the VA. Performs administrative duties to include data pulls, meeting minutes, memorandums, emails, and daily schedule maintenance per request of Chief, Anesthesiology. Assists service in evaluating, implementing, and managing patient check in (PCI). Provides expertise to committees, study groups, and project assignments; developing data, forming plans, and preparing recommendation papers that impact on scheduling training and achieving metric driven goals. Promotes effective coordination of service activities among the Management Team, the employee research scheduling directives and regulations in determining the relationship and compliance with Monitors, retrieves, and assembles data on patient scheduling, identifying barriers and errors and reports, tracks, and trends the inappropriate or underutilization of provider appointments to prevent prolonged gaps between medical care appointments. Serves as backup coordinator for facility Check in Program and maintains a current inventory of the electronic check in technology including hardware, software and associated licenses. Serve as back up timekeeper for all Anesthesiology service T&Ls. Performs Contracting Officer Representative (COR) duties when the principal COR is on leave. Serves as the backup Records Manager. Work Schedule: Monday - Friday, 7:00 am - 3:30 pm, subject to change based on the needs of the facility. Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/28/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: - Skilled in the use of applying hospital administrative principles, standards, policies, practice, and applicable regulations. - Skilled in the use of VISTA and Vista Scheduling Enhancement programs related to scheduling and consult packages. - Communicate verbally and in writing with a variety of people from different backgrounds and different levels of understanding. - Analyzing problems in order to frame the issue, formulating alternatives to resolve and presenting recommended solutions. - Experience using CPRS, Innovian, and Vista to generate important patient and billing data. - Skilled in the use of electronic consult process and clinical practices to accurately assess patient health care delivery. Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. The work is performed in an office setting.
