This position is located within Pathology and Laboratory Services at the Charles George VA Medical Center.

Duties

Duties and Responsibilities of the Administrative Support Assistant within Path and Lab includes but is not limited to the following: Greets patients promptly and courteously. Communicates professionally and effectively with providers, nurses, medical technologists, and with patients. Respects patients and coworkers by adhering to all safety and confidentiality regulations. Receives, prepares and routes all mail and phone calls to the appropriate personnel and/or section of the service based on knowledge of service programs. Answers telephones courteously, directs calls to the appropriate personnel and takes accurate and complete messages as needed. Responds to routine technical and non-technical phone requests for information (ie: status of reports, duty status of pathologists, etc). Prepares and routes mail within the Medical Center. Navigates VistA and CPRS to ascertain lab orders to determine ordered laboratory tests, accession tests, and print labels for collected specimens. Assists patients with the lab's queuing system. Prioritize specimen collection based on the patient's presenting information (i.e. urgency of lab order and clinic appointment). Responsible for ordering and maintaining office and laboratory supplies and appropriate VA Forms for P&LMS. Enters procurement/acquisition requests via VA Forms 2237 and 1358S through Integrated Fund Control, Accounting and Procurement (IFCAP) and verifies items are received. Serves as unit timekeeper, ensuring that various work schedules and leave uses are posted properly and timely. Informs employees of timekeeping procedures and regulations regarding tours, leave, travel requests, etc. Performs work involving the collection, compilation, and/or tracking of data, reports and statistical information in support of P&LMS operations. Prepares the autopsy report required in VHA Directive 2011-019. Utilizes CPRS in order to review deceased patient records for assembling the supplemental information that assesses the adherence and compliance by providers as VHA mandates. Submits for VISN for review prior to inclusion in the national database for inclusion in the Under Secretaries annual report. Maintains surgical, cytology and autopsy quality control reports. Enters data into VISTA with correct coding information, including ICD-10, SNOMED, CPT, Tumor Board and Quality Control. Scans records into electronic patient charts and databases for outside review, provider second opinions, and multiple reference laboratory testing centers (ie: Quest Diagnostics, Joint Pathology Center, VA Public Health Reference Labs, etc.) Ensures the quality and technical accuracy of the scanned images is acceptable. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/29/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04 . The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: The incumbent must possess knowledge and proficiency of complex medical terminology specifically related to anatomic pathology and clinical diagnoses; Ability to perform complex medical transcription that involves specialized terminology dictated by the providers; Knowledge and skill in the use of computer equipment with a wide variety of software such as Word, Excel, PowerPoint, Outlook, Access, VHA and VA databases to extract and organize data, produce reports and to prepare a variety of specific working documents and forms; Knowledge of regular and recurring application of pay and leave laws, rules, regulations and agency policy regarding entitlements to overtime, shift differentials, hazardous duty, holiday and special rates and premium pay in order to perform timekeeping duties. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education. Education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. You will be rated on the following Competencies for this position: ClericalComputer SkillsCustomer ServiceHazardous MaterialsManages and Organizes Information Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
