This position is located at Edward Hines Jr. Hospital's Sterile Processing Service (SPS) Department. This position is responsible to provide administrative and clerical support to the Chief, SPS and SPS Service.
Duties
Responsible for accurately posting and maintaining all Personnel and Accounting Integrated Data (PAID) time and leave records from the approved work schedule for each assigned SPD employee on a bi-weekly pay cycle. This includes entry of all regular time, overtime (OT), compensatory time earned and used (CTE/CTU) as well as other types of leave, e.g., authorized absence, court leave, military leave, etc. In addition, incumbent ensures that necessary remarks for special time and leave posting are entered onto each computerized record in the PAID system and any necessary corrected timecards are completed on a timely basis.
Incumbent is primary Time and Leave Clerk responsible for processing and maintaining attendance and leave records for the SPD Service. Accurately posting time from the approved work schedule for each T& L assigned and maintains files of completed certified time schedules
Maintains an accurate record of tasks and action items, tracks completion, and follows up with responsible parties to fulfill requests within the incumbent's wide range of responsibility, including but not limited to budget, personnel, travel, correspondents, timekeeping, supplies and equipment.
Prepares agendas, attends, and transcribes minutes for meetings. Maintains calendars, schedules appointments and meetings, makes necessary arrangements for conferences and meetings including reserving conference space and notifying conferees, having appropriate training materials, tools, supplies, etc., available.
Maintains suspense records on all controlled correspondence and action items/ documents for which he/she is responsible, providing necessary follow-up for timely reply or action. Keeps Chief of SPS informed of all deadlines.
Performs other related duties as assigned
Work Schedule: M-F 0700-3:30PM
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/01/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Comprehensive knowledge of roles, regulations .and other guidelines: Interpreting and applying procedural requirements to process and effectively keep administrative files and reports: Coordinating multiple activities including - meetings, appointment calendar and administrative deadlines: Effectively operating a personal computer and software applications: Knowledge of grammar, spelling, capitalization, and punctuation.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items like paper or books, transferring materials on/off of carts, and pushing carts. No special physical demands are required to perform the work.
