Duties
This position is located at the Clement J. Zablocki VA Medical Center, Milwaukee WI, in the Facilities Management Division. The primary purpose of the position is to perform a variety of general clerical and administrative tasks & assignments in support of the Division's administrative functions.
Major Duties:
Prepares presentations (graphs, charts, etc.), extracts, compiles, computes, and types all statistical reports, documents, and requisitions, enters data for the Division Manager and Deputy Division Manager utilizing designated/appropriate software applications.
Tabulates statistical information for monthly, quarterly, and annual reports, special projects, Quality Improvement activities, etc.
Receives incoming work requests either electronically, by telephone or in writing.
Processes work requests by: reviewing the work requests for propriety and completeness (contacts the requestor if the work request is unclear or incomplete); forwarding requests for further clarification, investigation, and approvals.
Creates, processes and maintains attendance and leave records for assigned Time and Leave (T&L) Units for Division staff.
Independently provides technical advice and assistance on pay and leave matters to employees, supervisors, and other management officials.
Posts timecards on a daily basis, and accurately sets up, posts and maintains all time and leave records for each Division employee on a bi-weekly pay cycle.
Schedules appointments, coordinates meetings, and/or schedules conferences on behalf of the Facility Management Division.
Uses a variety of different software to improve efficiency and/or effectiveness of office operations.
Determines the type of software to be used for the specific job.
Sets up detailed functional procedures needed to enter and retrieve the data in the form needed for the report.
Coordinates arrangements for appointments, meetings, conferences and regional conference calls.
Develops agendas, ensures that briefing materials are provided and notifies other attendees as necessary.
Follows up with meeting participants and others, as needed, to ensure necessary action to implement commitments and agreements are taken in a timely fashion.
Resolves problems associated with implementation on own initiative, keeping the Division Manager informed.
Purchases office supplies, equipment, and services utilizing local standard operating procedures (SOP) and maintains the inventory.
Performs other duties as assigned.
Work Schedule: Full time, Monday-Friday, 7 AM-3:30 PM. Telework and flexible scheduling are not applicable for this position.

Qualifications

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience. Examples of specialized experience would typically include, but are not limited to: Knowledge and understanding of standard purchasing regulations, policies and procedures. Skill in composing/editing letters, reports, meeting minutes and replying to inquiries. Skill providing customers with consistent information according to established policies and procedures. Knowledge sufficient to submit a work order and the capabilities, operating characteristics, and advanced functions of a variety of types of office automation software applications (e.g., word processing, desktop publishing, graphics, database, spreadsheet, communication), to devise new methods of office automation support and/or resolve problems with current automation methods. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university.(TRANSCRIPTS REQUIRED) OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must possess a combination of specialized experience and successfully completed education as described above. (TRANSCRIPTS REQUIRED)
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Work is mostly sedentary; however there is some lifting of moderately heavy packages involved in checking in supplies and handling copier paper. Much of the work is done on a computer. Some walking, standing, bending and carrying of light items such as papers and files is required.
