The incumbent provides administrative and personal assistance to the Associate Chief of Staff (ACOS) for Primary Care (PC) at the El Paso VA Health Care System (EPVAHCS). The incumbent will be responsible for a large variety of administrative duties relevant to the functioning of sections and programs of the Primary Care Service line.
Duties

Schedules and reviews the work performed and activities of the office, including reporting and recordkeeping; receives visitors and telephone calls to the office; maintains calendar for appropriate staff; and schedules appointments.
Reviews and directs to appropriate staff incoming correspondence, publications, regulations, etc.; responds to inquiries or directs accordingly; and follows up on action items to ensure timely response.
Performs office automation work; prepares meeting minutes; and utilizes various hardware and software in the performance of duties.
Prepares forms, memorandums, reports, and other correspondence, ensuring proper grammar, spelling, and format; and prepares and maintains current guidelines and manuals pertinent to the department.
Prepares travel arrangements for select staff; and coordinates conferences and meetings, including preparing agendas.
May serve as the backup transcriptionist; maintains files, reports, etc.; and enters data/reports into the computer.
Maintains an adequate stock of office supplies; maintains employee records; and serves as a government purchase card holder.
Work Schedule: Monday - Friday 8:00 a.m. - 4:45 p.m.

Qualifications

You may qualify based on your experience and/or education as described below:
GS-5 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include: receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, minutes, and other forms of written communication; preparing travel arrangements; timekeeping; and maintaining files. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. (Transcripts Required) OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education beyond the first 60 semester hours (i.e., beyond the second year) to be creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (Transcripts Required)

TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
