The incumbent provides technical and clerical assistance to the Health Information Management Service (HIMS) Chief, who is responsible for administrative and technical programming of all areas within the HIMS program.
Duties
Duties include, but are not limited to:
Frequent personal, written and telephonic contacts with Veterans and their families, service supervisors, professional staff, administrative staff and personnel from other VA facilities, as well as representatives from other Federal and private agencies
Screening calls and receiving visitors for the Program Manager
Referring only those matters requiring the manager's attention
Personally handling many requests for information and referring a variety of issues and questions presented by HIMS staff members and callers/visitors to the appropriate staff within or outside the program
Performing work involving the collection, compilation and/or tracking of data and statistical information in support of an organization's program operation
Establishing a tracking system of all reports received and assists in compilation of data for reporting purposes
Maintaining and revising relevant government manuals, circulars, interim issues and letters as needed
Assisting in planning, development, implementation and evaluation of policies and procedures as they relate to HIMS
Updating and revising policies as well as the policies and procedures within each section of HIMS as necessary and implements new policies when required.
Assisting manager and supervisors in the development of appropriate electronic reporting and monitoring tools as it relates to HIMS functions and performance
Preparing monthly, quarterly and annual reports following a strict time schedule for completion
Assisting the HIMS Chief with performance reviews, memorandum, etc. as requested
Work Schedule: Fulltime, Monday thru Friday 8:00 a.m. to 4:45 p.m.

Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
This is a Bargaining Unit position.

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: screening calls and receiving all visitors for the Program Manager and referring only those matters requiring the manager's attention; providing technical and clerical assistance to the Program Manager; performing work involving the collection, compilation and/or tracking of data and statistical information in support of an organization's program operation; establishing a tracking system of all reports received and assisting in compilation of data for reporting purposes; recording (in writing) medical committee minutes and agenda. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have (4) full years of education above high school. (TRANSCRIPTS REQUIRED) OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have any combination of specialized experience and education beyond the first 60 semester hours (i.e., beyond the second year). One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (TRANSCRIPTS REQUIRED).
